Job Description

The Project Specialist II will provide advanced professional assistance to directors. Maintains high-level interactions with the campus community and assists with highly confidential and critical academic and/or administrative matters. Provides intermediate project management support to deliver projects within the established budget and timeline. Exercises discretion and independent judgement with respect to matters of significance. The Project Specialist II will provide professional assistance and project management support to maintain facility operations and deliver projects within the established budget and timeline.

Responsibilities:

  • Provides direct support to high level administrators. Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel. Prepares travel arrangements and itineraries. May assist with travel reimbursements.
  • Plans and coordinates logistical and administrative support for special events, meetings or other special functions. Provides on-site support for long-range planning and scheduling activities.
  • Acts as administrator’s representative in dealing with third parties.
  • Develops, reviews, and communicates administrative policies, procedures, standards, and methods. Coordinates and monitors action items and assignments made by the administrator.
  • Serves as an Office Manager and assists with fiscal and business coordination responsibilities.
  • Performs intermediate program and project development, disseminates project information, and serves as an active participant in project related work groups and committees. Provides recommendations to achieve goals.
  • Plans, develops, implements, and evaluates programs and projects.
  • Assists in developing project budgets and prepares contracts. May manage budget for small to medium projects or components of large programs under the direction of program director.
  • Coordinates project activities, collaborates with project team members, assists in the development of measurable project goals and objectives, and monitors progress toward achievement.
  • Prepares agendas for meetings, documents key decisions, collaborates with team members to develop project collateral, and creates presentations.
  • Writes and disseminates work plans and project documents to include procedures, proposals, progress reports, and presentations.
  • Performs other related duties as assigned.

Required Education:

  • Bachelor’s Degree. An equivalent combination of education and experience may be considered.


Required Experience:

  • One year of related experience in administration and/or experience in project management.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively.
  • Relevant skills in one or more of: manufacturing processes, automation, programming, education / training.

Salary Range:

  • $4,180.17/month + depending on qualifications.
