Position Summary:

The purpose of the Business Acuity Plan is to assess, engage, implement, and sustain new practices both in practices and business procedures. The plan will encompass three main areas to achieve the purpose. The first is Implementation Science (IS) with components of accounting, and marketing. From the accounting perspective, we aim to utilize financial data from providers to calculate the current cost per client in programs. Second, we aim to work out switching costs and determine the financial implications associated with transitioning clients from one program to another. Lastly, we aim to develop supervised machine learning models to predict the financial outcomes (e.g., efficiency ratios, program costs) of transitioning clients to community-oriented services
These techniques can also tell us what the key demographic, clinical and program-related drivers are that influence successful client transitions, and how these can be identified to optimize the transition process
We aim to explore the use of predictive analytics to identify factors influencing successful transitions and potential obstacle
The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and agency/institution policy


Duties & Responsibilities:

  • Greets walk in traffic and directs students and visitors
  • Answers/refers calls and emails to provide proper information
  • Compiles and maintains office administrative information such as departmental budget, purchasing, and accounting including: tuition waivers, reimbursement checks, office supplies and technology, campus ordering, P-card/ Department T-card reconciliations, Foundation requisitions and reimbursements, Additional Compensation Forms, Employee Personnel Action Forms (EPAF), and budget transfers
  • Updates course schedules on Banner system; assist students with enrollment issues including issuing permits and overrides, removing advisor holds, and update advisor information
  • Maintains filing and record keeping of departmental records such as; employee files, various computerized and paper files, records, logs, reports, and retrieves information upon requests
  • Collects, sorts, receives, and distributes internal and external mail and packages
  • Supervises work-study students, part-time office assistants, and Graduate Assistants
  • Schedules interviews and develop itineraries for campus visits
  • Assists executive director and executive assistant in planning events
  • Prepares documents/emails the chair, or deans office request such as; workload, office hours, key requests, and reporting building issues to building liaison
  • Processes and completes paperwork for all departmental travel
  • Manages clients, schedules for clients, rooms, etc.
  • Adheres to Health Insurance Portability and Accountability Act (HIPAA) and Family Education Rights and Privacy Act (FERPA)
  • Other duties as assigned


Knowledge/Skills/Abilities:

Knowledge of the principles and practices of mathematics and statistics, research and analysis techniques and methods, work-related subject area, and computers and software applications
Ability to prepare, present, and review oral and written information and reports, research and analyze related work program information, develop, recommend, interpret, and apply policies and procedures, analyze financial records and prepare reports, and plan, organize, and direct the work of others


General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed

Minimum Qualifications:

The formal education equivalent of a High School Diploma
One (1) year of specialized training in Business Management, Business Education, or a related field
Two (2) years of experience in specialized or a related field applicable to work performed
Other job related education and/or experience may be substituted for all or part of these basic requirements upon approval of the qualifications review committee
