Job Summary

The Department of Medicine at the University of California, San Francisco (UCSF) seeks applications for the role of Project Manager. This key position provides a broad range of administrative, analytical, and programmatic support for departmental initiatives, notably in the realm of artificial intelligence (AI) adoption, communication projects, and web portal management. The Project Manager will also provide administrative support to DOM divisions, as necessary.

Reporting to the Associate Chair for Administration, the Project Manager is expected to demonstrate innovative thinking and strategic planning capabilities, along with proven project management expertise. The incumbent will have a significant impact on advancing the department’s initiatives by working collaboratively with stakeholders to advance goals and objectives.

Key responsibilities include the management of multiple, overlapping project timelines, ensuring the delivery of outcomes that meet the high-quality standards expected by the Department of Medicine. The Project Manager will be responsible for facilitating project meetings, providing regular updates to stakeholders, and tracking project milestones. Post-project evaluation to assess outcomes and identify potential areas for improvement is also a crucial aspect of the role, contributing to a culture of continuous learning and innovation.

In addition to these responsibilities, the Project Manager will support the central administration team by coordinating and implementing departmental initiatives, managing project scopes, and adhering to timelines to achieve organizational goals. The role may extend to managing schedules and providing temporary support as a floating administrative coordinator to various divisions.

The successful candidate will work with a high degree of autonomy, addressing project-based assignments that require comprehensive problem-solving skills, including research, analysis, identification of solutions, and the presentation of results.

The role demands a professional who is adept at navigating a fast-paced work environment and who can effectively support complex change management strategies as necessary. The capacity to work collaboratively with the central administration team to maintain project schedules is essential.

Department Description

The Department of Medicine (DOM) is the largest department in the School of Medicine (SOM) at UCSF, with a mission encompassing research, teaching, patient care, and public service. With an annual budget of approximately $650M and around 3,000 employees across three sites, DOM plays a significant role within UCSF. The department consistently ranks among the top four departments of medicine in the country and is a leader in NIH research funding. DOM offers numerous fellowship programs and maintains one of the top internal medicine residency programs nationally.


Required Qualifications

  • Bachelor's degree in related area (e.g., business, communications, administration) and three or more years of project coordination or management experience; and / or equivalent experience / training.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills. Ability to communicate effectively with all levels of staff and faculty.
  • Solid knowledge of common University-specific computer application programs (e.g, Microsoft Office suite).
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Strong interpersonal communication skills, with the ability to effectively collaborate with diverse, multi-disciplinary teams and stakeholders.
  • Excellent organizational skills and ability to multi-task with demanding timeframes.
  • Demonstrated initiative and self-motivation, with the ability to work independently.
  • Adaptability and flexibility to navigate evolving project requirements and timelines.
  • Excellent writing skills suitable in an academic setting.
  • Proven ability to problem-solve and think critically, with a keen attention to detail.

Preferred Qualifications

  • Master’s degree
  • Familiarity with HTML, CSS, and/or basic web development languages.
  • Experience managing online events, webinars, or virtual conferences
  • Knowledge of AI tool fundamentals and user experience principles.
  • Knowledge of digital accessibility standards and best practices for creating inclusive content.
  • Experience with video and photo editing software
  • UCSF, healthcare, or university experience.
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management.
