Job Description

The Southwest Urban Corridor Integrated Field Laboratory (SW-IFL), housed in the School of Geographical Sciences and Urban Planning (SGSUP), but with research staff (faculty, postdocs, and grad students) across ASU and with several partner institutions, is seeking a dynamic professional to become our Project Manager. The Project Manager will play a vital role in ensuring that the SW-IFL’s wide-ranging research mission and activities are carried out in a seamless, organized, and well-documented fashion

The Project Manager will report to the Principal Investigator, David Sailor, in SGSUP, but will also be responsive to, and receive work assignments from the Deputy Director, Jean Andino, in the School of Engineering of Matter, Transport and Energy (SEMTE). The Project Manager manages project planning, workflow, and timelines for complex research projects, meetings, events, and reporting responsibilities across the center.

Essential Duties

  • Lead day-to-day project planning and management across research project teams (Observations, Modeling, and Resilient Solutions) by developing and following up on timelines, anticipating and navigating around roadblocks and tracking progress against project deliverables.
  • Provide relevant information to key SW-IFL staff to prepare project reports, budget allocations and timely dissemination of information to internal and external partners.
  • Work closely with the Project Leadership Team to coordinate across a portfolio of inter-related sub-projects; identify cross-cutting research themes that should be elevated for commentary or future proposals.
  • Contribute extensively to project operations and workflows as needed, e.g., drafting outreach, preparing meeting materials, assisting with data collection, storage, and archiving processes.
  • Participate in regular program meetings/presentations and leadership meetings/presentations. Document discussions and decisions and provide follow-up and project-wide communications as appropriate.
  • Identify project coordination road blocks, resolving directly, and elevating issues when Center Leadership input is needed.
  • Ensure that the project plan reflects the contractual deliverables
  • Work with the business and research advancement team staff to complete standard business processes for purchasing, procurement, and internal transfer of funds.
  • Assist with project account tracking to ensure expenses are in-line with the planned budget. 
  • Manage schedules and procedures for accomplishing the project.
  • Coordinate calendars for planning and operational needs of SW-IFL activities.
  • Assist with office management needs for staff and student workers.
  • Interface with students, staff, faculty, university leadership and external parties.
  • Manage logistics of periodic planning meetings for leadership, for project teams, for annual all-hands meetings and other events including planning, delivery support, and post-event reporting.
  • Utilize technology platforms for meetings, webinars, document sharing and communication.

Minimum Qualifications

Bachelor's degree and 5 years related experience; 1 of which are in project management, or any equivalent combination of experience and /or education from which comparable knowledge, skills and abilities have been achieved.

  • Ability to communicate clearly, directly, and empathetically in all interactions, including verbal and written communications, one-on-one conversations, and in group settings.
  • Evidence of working knowledge of, and intellectual curiosity about, key issues related to environmental challenges facing society.
  • Experience demonstrating the ability to effectively manage complex projects.(3 years)
  • Experience in  problem solving in a dynamic environment, anticipating project needs and roadblocks, weighing trade-offs when making decisions, synthesizing the most important information, and providing proposed solutions. 
  • Evidence in being comfortable with “managing up” to lead project structure, approaches, and components of work in partnership with the Principal Investigator.
  • Experience with project management, communications, and social media software including Google, Dropbox, Slack, Zoom, Twitter, and Drupal.
  • Demonstrated working knowledge of ASU systems, such as Workday, PeopleSoft, Analytic Reports, Enterprise Research Administration System (ERA), Concur, PaymentNet, and KE Forecasting Tool.

Working Environment

  • Ability to work evening and weekend hours, as necessary, on short or limited notice.
  • Must be available for occasional travel to conferences and meetings.
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Regular activities require the ability to prioritize a complex workload with evolving tasks and deadlines
