Position Description

The University of Louisville School of Medicine invites applications for the position of Project Manager, in the Dean's office. At the direction of the Chief of Staff to the Dean of the School of Medicine (SOM), the Project Manager position will work centrally with the SOM Dean's Office leadership at the University of Louisville to provide a broad range of communication, event management, project-related, operational, and business function support to the leadership of the SOM.  The position will work collaboratively with various stakeholders across the SOM including, the dean, vice deans, decanal staff, department chairs, faculty, staff, and students to implement programming, messaging, social media, and video content as well as work with special events, special initiatives, Diversity, Equity, and Inclusion initiatives, and strategic priorities for the SOM.          

PRIMARY RESPONSIBILITIES:

Strategic Planning & Project Management:

  • Coordinate key elements of the SOM SMART Staff Development Program, including events, programming/monthly meetings, trainings, communication strategy, website, social media, and annual reports.
  • Coordinate special events for SOM, working closely with SOM school wide departments, constituency groups, and offices.  Key factors include: Facilitating event marketing/registration, planning logistics, operating event management, and directing post event communication/assessment.
  • Integrate assessment data to inform and guide programming and special events with the SOM. 
  • Research, benchmark, analyze data, and make recommendations on various SOM initiatives/projects.
  • Create systems and processes to promote collaborations and streamline operations.
  • Assist the SOM Chief of Staff with providing input, programming, and project management support to the SOM Dean's Office. 
  • In collaboration with the SOM Chief of Staff and the SOM Director of Strategic Marketing and Communications, research, write, edit and/or coordinate preparation of special reports, briefings, and presentations on behalf of Dean of SOM.

Social Media & Communication Engagement

  • In collaboration with the SOM Director of Strategic Marketing and Communications, develop content for SOM strategic plan, messaging, press releases, newsletters, webpages and videos targeting a wide audience of stakeholders.
  • Manage the SOM social media footprint through multiple social media marketing tools and platforms.
  • Develop and manage social media strategy and structured strategically planned social media content posting schedules integrating appropriate SOM initiatives, themes, and goals through organic and promoted posts.
  • Create and execute social media campaigns for SOM (including key performance indicators) and provide social media best practices guidance and resource tools to SOM academic departments.
  • Promote engaging customer service by reviewing and responding to SOM stakeholders via the SOM social media accounts. 
  • Research social media trends, assessment data and metrics as well as analysis reviews and reports on effectiveness of campaigns to maximize results and integrate needed changes in relevant SOM social media marketing activities.
  • Edit, storyboard, and contribute content to the Dean's Office and SOM newsletters/webpages.
  • Edit and contribute both external and internal communication content to support recruitment of future students, faculty and staff as well as retain and support current students, faculty, and staff. 
  • Edit departmental materials including collateral materials, advertisements and other printed materials utilizing UL branding standards.
  • Ensure the SOM name, branding, mission, and vision are properly communicated in all materials, maintaining corporate integrity. Uphold the standards outlined in the Graphic Standards Manual for all materials.
  • Evaluate and recommend new mediums for messaging.
  • In collaboration with the SOM Director of Strategic Marketing & Communications, support the organization-wide marketing and communication strategies

Other

  • In collaboration with the SOM Chief Diversity Officer, coordinate special events and special initiatives as well as contribute social media and communication content relating to SOM Diversity, Equity and Inclusion priorities. 
  • In collaboration with the SOM Director of Finance and Administration facilitate travel arrangement for the SOM Dean's Office. 
  • Experience supervising professional staff and/or student staff.
