Position Summary:

Working closely with the Director of the Enterprise Support Services (“ESS”) the project manager independently enables the accountable leader in facilities/ESS to be successful for their “top” level strategic priority.  The value should be clear, demonstrative and measurable.  Identifies standardization recommendations for functional areas around process improvement, project implementation, performance and reporting to ensure project efficiencies are met.  The outcomes should be metrics driven. 

 The project manager must have demonstrated skill in establishing and maintaining effective working relationships with executives and key project stakeholders. This position requires superior project management, interpersonal, communication and presentation skills.  In addition, the position requires an incumbent who employs tact and discretion and is motivated, self-directed, and a confident self-starter. 

Key Responsibilities include:

  • Direct oversight of the “top” level ESS/Facilities annual priorities and, as assigned, COH strategic priorities (e.g. Improve the patient experience, Continue People and Infrastructure Investments, and reduce expenses through improvement in operations)
  • Works with Operations and/or aligned ESS/Facilities managers to ensure project execution and outcome achievement 
  • Manage the analytical and development components of all ESS/Facilities projects as assigned and the tracking of as capital projects. 
  • Drive the identification of “people”, “process” and “system” (not IT systems) capabilities required to move the initiatives forward
  • Play a central role in affecting the operations/business change readiness for the aligned initiatives.
  • Effective and objective escalation to ESS Director the key concerns, issues related to the performance of the Support Services Portfolio
  • Works with the aligned Director and, as appropriate, Executive Director to create reporting/status materials for pre-defined COO updates at COO Leadership Meetings and/or Facilities ET meetings while keeping ESS Director informed
  • Develop sufficient level of understanding of all initiatives within the assigned portfolio that are within that portfolio and develop a strong broad/horizontal communication pattern across portfolios to tie in dependencies and synergies among initiatives and projects
  • Evaluate quantitative data and viewpoints to conduct structured portfolio reviews. 
  • Conduct weekly/monthly reviews with Directors and Project Managers for project performance within portfolio (schedule, budget, resource) Communicates project status and facilitates communication between all parties involved in the aligned initiative. 
  • For specific assigned initiatives, manage the program/project through best practice LEAN standards and in accordance with balancing the business need with available resources:
    • Executes all deliverables per plan and be a single point of accountability for program success. Develops detailed project work plans, time lines, and budgets.  Maintains project assignments, monitors workloads, and resources to meet project requirements.  Frequently reassesses project scope to ensure projects are carried out according to established plan and budget
    • Provides direction and leadership and serves as resource to staff on all project tasks.  Meets regularly to review project activities, consultant performance and management strategies. 
    • Project Control - Helps resolve issues and manage Change Requests, tracks action items.  Proactively manage budget/Expenses, schedule, scope, risks and quality Drives status reporting per ESS guidelines
    • Reports to ESS Director the data on project/program performance - proactive issue/risk mgmt and report status dashboards - on time/on budget
    • Adheres to concepts of project lifecycle – process, tools and guidance. 
  • Participate in team building to establish an ESS LEAN culture of excellence with industry best practices.
  • Actively contribute in the ESS Roadmap discussions, take ownership of deliverables towards the overall ESS objectives
  • Take ownership of segments of ESS monthly meetings and other activities to promote ESS LEAN culture of excellence within the ESS community of practice
  • Actively participate in optimization and support ESS Operations processes and goals
  • Responsible and Accountable for the following:
    • Portfolio Status, Data requests & Reports (Accountable to ESS Dir)
    • Portfolio and/or Initiatives Monitor and Control (Accountable to ESS Dir)

Basic education, experience and skills required for consideration:

  • Bachelors in similar field (preferably healthcare administration, business or public health)
  • 3 + years’ experience in running large projects/programs with portfolio oversight.

Preferred Education:

  • Masters in similar field (preferably healthcare administration, business or public health)

Pref. Certification/Licensure:

  • Project Management Professional Certification
  • LEAN or Six Sigma Black Belt
  • Preferred Experience:
  • Superior project management, interpersonal, communication and presentation skills. Demonstrated effective experience in working and partnering with executives and key leaders and project stakeholders

Skills/Abilities:

  • Strong organizational skills to effectively manage multiple projects from inception to completion, adhering to deadlines, within budget, quality and desired outcomes/metrics.
  • Proven experience creating and delivering clear/concise communications, and an ability to speak and document in a summarized fashion.
  • Past consulting background is recommended and viewed as an important success criteria
  • Demonstrated skill in establishing and maintaining effective working relationships with executives, and other key stakeholders.
  • Superior project management, interpersonal, communication and presentation skills.
  • Employs tact and discretion and is motivated, self-directed, confident and a self-starter.
  • Additional Information:
