Job Description Summary:
The Division of Development and Alumni Relations (DAR) is responsible for leading the university’s alumni and fundraising efforts and seeks to promote a culture of philanthropy throughout the university community, including alumni, students, parents, faculty, staff, corporations and foundations, patients, and friends. Our goal is to advance GW’s mission of excellence in education, research, scholarship, and patient care.
The Projects Coordinator, Schools and Units plays an integral role in supporting the Associate Vice President (AVP), Schools, and Units to ensure coordination and alignment of fundraising operations for 7 schools and units in a fast-paced environment.
This support position is responsible for providing programmatic and administrative support on various development and alumni relations activities. Core responsibilities include managing the calendar and prioritizing requests for the AVP, Schools, and Units, coordination and follow-up with school and unit partners as directed by the AVP, Schools, and Units, and preparation and compilation of materials and reports, as well as event, travel and logistical support as needed. The Project Coordinator will track activity related to schools and units, including events, fundraising progress, donor strategies, and follow-up. The Project Coordinator provides enhanced administrative support to the Associate Vice President, Schools and Units, and secondary coverage for select members of the DAR leadership team as needed.
The position requires a high level of judgment and discretion, the utmost attention to detail, and excellent customer service and organization, as well as the ability to multitask and prioritize. The position also requires a steadfast commitment to confidentiality.
Additional Duties:
  • Ensures the AVP is prepared for daily meetings, activities, and engagements by proactively gathering all materials for the AVP, collating, formatting documents, and ensuring reviews.
  • Internal meeting and event management, including scheduling, preparing meeting agendas, making facilities and catering arrangements, disseminating materials, and recording minutes or preparing summations.
  • Provides support for all aspects of fundraising oversight for supervisor including scheduling meetings, preparing materials, coordinating and/or conducting donor research, orchestrating donor reports, and handling logistics.
  • Prepares reports on school and unit activities related to fundraising and other development progress.
  • Developing and implementing a comprehensive timeline/calendar for the supervisor and ensuring projects, events, cultivation, solicitation, and stewardship activities are executed on schedule.
  • Assist in the creation and management of key informational documents such as briefing materials.
  • Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • At least one year of professional experience, preferably in a development or academic setting.
  • Demonstrated ability to independently plan, organize, and work on multiple projects simultaneously; ability to make effective timely decisions and meet deadlines in a dynamic and ever-changing environment.
  • Administrative experience, including scheduling and event and meeting planning.
  • Aptitude for developing and streamlining processes to maximize efficiencies. Exceptional writing and editing skills.
  • Familiarity with standard university protocol and processes.
  • Ability to work with diverse groups of people from high-level donors to university leadership to faculty to students.
  • Capable of handling sensitive and confidential information.
  • Ability to work independently and as part of a team.
  • Strong computer skills, including Microsoft Office Suite and Google products. Experience with Advance, Luminate, and Michelangelo Pro is a plus. Ability to learn new technologies and software applications promptly and efficiently.
