Project Coordinator - MCS - Department of Mathematical Sciences

The Department of Mathematical Sciences within the Mellon College of Science (MCS) is seeking a Project Coordinator. The Department of Mathematical Sciences is in an exciting period of development that coincides with a dramatic increase in demand for mathematics at Carnegie Mellon. The Project Coordinator will contribute to the department by providing administrative and logistical support, as well as project-based work and other related areas. In this role you will work closely with the business manager, senior administrative coordinator, academic program manager, and department head to ensure that projects and/or programs run efficiently. This position coordinates the organization of high-level special events and programming, including coordination of on- and off-campus meetings and visits from a wide variety of individuals and organizations. May be the only support staff for a particular program/project area. Requires in-depth knowledge and understanding of the practices, policies, and procedures of the area.


Your core responsibilities will include:

  • Oversee the planning, coordination, and execution of internal and external events, workshops, and conferences including, but not limited to, faculty retreats, international conferences, and departmental social events (fall social, holiday party, etc.).
  • Provide commencement ceremony and reception event support to the academic program manager.
  • Broker agreements between external vendors and the University Contracts Office (UCO) in compliance with university purchasing policies and procedures.
  • Liaise with the business manager to develop and track budgets for projects and events.
  • Facilitate communication among project team members including the administrative coordinator and administrative coordinator II regarding conference room booking, travel logistics and lodging, and post-event expense reimbursement.
  • Maintain project records and documentation for future reference and reporting purposes utilizing Google Drive and Box.
  • Support other administrative tasks and other duties as assigned by the leadership team (manage reimbursement requests for visitors and other non-CMU affiliates, basic Oracle functionality including purchasing).

  • Ability to keep and maintain accurate reports and records


Qualifications:

  • Associate degree preferred
  • 3-5 years of work experience
