Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking a Project Coordinator – Jazz Studies Collections. Reporting to the Executive Director of the Institute of Jazz Studies (IJS), the Project Coordinator provides administrative and project support for the Mary Lou Williams Collection and to the Executive Director on administrative and business tasks related to performances in and the operation of Clement’s Place. Project coordinator will also occasionally assist IJS staff with varied other archival, research, and project related tasks as necessary.
This position is responsible for and not limited to the following:
  • Process the collection, create finding aids;
  • Assist with project logistics and be responsible for day-to-day coordination of the administrative activities;
  • Assist the Executive Director and project faculty and administrative staff with oversight and reporting on deliverables and project progress;
  • Procure supplies and materials through purchase orders in consultation with project faculty, administrative staff, and outside vendors;
  • Process invoices for musicians who perform in Clement’s and elsewhere on campus, as well as for the technical service providers, and other related vendors who need payment for activities in Clement’s;
  • Other tasks as required

This position is contingent on the continuation of external funding.

Qualifications


Minimum Education and Experience
  • Requires a Bachelor’s degree in a related field, or an equivalent combination of education and/or experience.
  • Requires up to two years relevant experience in an administrative function, good communication and interpersonal skills, and computer literacy.

Preferred Qualifications
  • The ideal candidate will have knowledge of or an interest in jazz and jazz history

Required Knowledge, Skills, and Abilities
  • Bachelor’s degree in the humanities or social sciences
  • Demonstrable experience or coursework in museum or archival collections management, best practice collections handling, conservation, and/or metadata creation
  • 1-3 years’ experience in purchasing and procurement activities
  • 1-3 years’ experience in project management
  • Excellent oral and written communication skills
  • Excellent organizational and creative problem-solving skills
  • Experience working as a member of a team
  • Detail-oriented self-starter with a positive attitude
  • Proficiency using Windows or Mac OS and Microsoft Office tools

  • Spreadsheets, artifact materials, etc.
Physical Demands and Work Environment
  • Position is 90% in office, 10% remote
  • Light lifting of up to 25lbs may be required.
