This position is for a highly motivated Project Coordinator who will work with HHMI’s Educational Media Group based at HHMI headquarters in Chevy Chase, MD. The Project Coordinator will work with the production team to oversee aspects of the workflow processes, such as: production and permission logs for resources published on the BioInteractive website; manage project calendars; track benchmarks; prepare, schedule, and track English content for Spanish translation; and support the work of content developers from idea to publication.
This is a time-limited position for one year.
Essential Duties and Responsibilities:
Resource development management: Help manage the resource development process for a variety of digital media including web modules, films, and activities. Responsibilities include:
Monitoring and tracking projects in development, including translations, using a project management system
Reviewing each project to ensure it adheres to publication guidelines, including accessibility requirements
Working closely with editorial project leads to provide support and communicate tasks and deadlines
Monitoring the editorial and publishing documentation (project summary, production and permission logs, accessibility, etc.) for both English and Spanish BioInteractive resources
Organizing meetings
Gathering and analyzing information
Corresponding with vendors and collaborators
Creative solutions for new task management and workflow processes
Assist with resource accessibility updates and compliance.
Track deliverables from developers and other vendors and communicate with editorial content leads.
Code invoices from developers and other vendors.
Prepare documents to be translated from English to Spanish, including communicating with editors and translators.
Qualifications
Education
High school diploma
Experience
Minimum of four years of experience in the coordination and management of projects such as media resources and websites or equivalent combination of education and experience.
Completing documentation such as forms, logs, spreadsheets, and invoices
Tracking expenses
Working in Microsoft Office and Google Suite
Working with project tracking software such as Trello.
Working on a team with diverse backgrounds and roles, such as developers, designers, editors, and/or filmmakers
Familiarity with accessibility compliance (WCAG ). Formatting/tagging documents for accessibility is a plus
Data entry in an online platform is a plus
Skills and Abilities:
Excellent communication skills
Strong project coordination and management skills
Ability to work on multiple projects and with many different individuals at once.
Strong attention to detail.
Bi-lingual in English and Spanish preferred, but not required.
Physical Requirements:
Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for
example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).
