Job Summary

The Project Analyst is an experienced administrative and project management professional responsible for planning and managing administrative functions and operations within the Office of the Chief.  The incumbent provides direct administrative, project and program support to the Chief of Staff, performing a full range of functions that are significantly complex, broad in scope, and highly critical and sensitive.  Functions include but are not limited to human resources, IT, facilities, space management, budget/financial management, purchasing, vendor contracts and invoice management, department- and organization-wide communication, policy, and compliance. 

The individual will support the Office of the Chief with administration, analysis, reporting, goal tracking, purchasing, event planning, scheduling, website management, communications both internal and external, coordination of department-wide programs and processes, problem-solving, and other duties as assigned. 

We seek someone with a continuous learning orientation and technical acumen who thrives on new challenges, learning new systems and tools, and finding opportunities to make processes more efficient and effective.  The individual will be responsive, have a positive service orientation, a high-level attention to detail, and be able to prioritize work according to urgency and allocate time accordingly.  Must demonstrate analytic ability and exercise good judgment in selecting methodology, techniques, and evaluation criteria for obtaining solutions and completing deliverables by deadlines.  Problem-solving frequently requires analysis of data and unique issues without precedent and/or structure.  The position reports to the Chief of Staff and the individual will work closely to support all roles within Command Staff.  This position requires one to work 100% on-site and will require one to travel to other UCSF work locations when needed.

Department Description

The University of California, San Francisco (UCSF) Police Department provides contemporary police services including criminal investigation, community policing, crime prevention and suppression, emergency management, and site security services to a daily population of over 60,000 people at University and contract locations. Founded in 1864, UCSF includes the 107-acre Parnassus campus that is home to graduate professionals in dentistry, medicine, nursing, and pharmacy; a graduate division for pre- and postdoctoral scientists; UCSF Medical Center; UCSF Children’s Hospital; and Langley Porter Psychiatric Institute.  UCSF is considered one of the nation’s premier health sciences teaching, training, and research centers. Required Qualifications

  • Bachelor's degree or four years of related work experience
  • Three or more years of relevant progressive work experience
  • Excellent skills in the following areas:
    • Short- and long-term planning, analysis, problem-solving, and customer service
    • Small to mid-level project management, process improvement in academic, health care, and/or industry settings; Analyzing, researching, and synthesizing large amounts of data for preparing sound and relevant proposals/analyses
    • Communication and interpersonal skills to communicate effectively, both verbally and in writing, active listening, critical thinking, persuasiveness, advising, and counseling skills. 
  • Experience in effectively presenting and speaking publicly. 
  • Ability to use discretion and maintain all confidentiality.

Preferred Qualifications

  • Analytical / problem-solving skills.
  • Excellent knowledge of common University-specific computer application programs.
  • Strong policy analysis techniques.
  • Experience working in an academic environment.
  • Knowledge of updating website content using Drupal system.
  • Experience in contract management and development.
  • Notary Public
  • Certifications in addition to their education, such as the Project Management Professional (PMP)
  • Certification from the Project Management Institute
  • Certifications in Lean Management, Process Improvement or A3 Thinking

License/Certification

Valid California Drivers License
