PROJECT ADMINISTRATOR, Koch Institute (KI) for Integrative Cancer Research, to implement operational and administrative activities and provide project support for three KI Executive Director's Office (EDO) functional areas--collaborative programs and industry relations, communications, and public outreach. Responsibilities include coordinating, planning, preparing, and implementing a range of events (e.g., scheduling, room reservations, invitations, preparing materials, collaborating on event promotion, menus/catering, meeting set-up/breakdown, and AV); working with the EDO on updating weekly/monthly project schedules and ensuring adequate coordination and resources are available; coordinating and implementing KI community programs/activities, including travel and special fellowships, seminars, and other internal programs; developing and maintaining systems/processes to ensure smooth project operations, including creating and implementing a process for updating faculty bios, writing and editing as needed; creating processes/tools to track EDO event/meeting details and expenses; organizing and archiving press clippings; keeping current on KI faculty research/news; serving as resource for information on office systems, programs, and finances and as liaison to various KI and MIT offices; and other duties as assigned. Will also provide some administrative support for the executive director, e.g., scheduling, coordinating activities, and logistical support for appointments/meetings.
Job Requirements
REQUIRED: bachelor’s degree; three years’ administrative, operations, and/or project/program management experience; proactive approach to projects and problem-solving; excellent interpersonal, written, and oral communication skills; meticulous attention to detail and accuracy; discretion with confidential information; proficiency with Mac OS, Microsoft Office, and Adobe Creative Suite; and willingness to learn new applications as necessary. Must be able to anticipate, prioritize, organize, and manage multiple projects simultaneously despite frequent interruptions and deadline pressures; and work independently and as part of a team.
