What You Will Do

The Sigma Operations Group (Sigma-OPS) seeksthree energetic, customer-focused individuals for the position of Programmatic Technical Project Operational Support Specialist to serve as an integral part of the Business Process Management team. The successful candidate will provide support to the SIGMA-OPS programmatic project management program. The team focuses on the incorporation of project management principles and execution of standard processes across the Sigma Division. Additionally, this position will serve as a primary liaison with a variety of Sigma Division programmatic organizations, support organizations, technical project managers and LANL program offices.

The Programmatic Technical Project Operational Support Specialist will provide high-level professional business and operational support, with particular attention to meeting programmatic project deliverables in the assigned area of Sigma Division. The selected candidate will be expected to operate with initiative, professionalism, dependability, and flexibility within a dynamic organization. Specific duties of the position include but are not limited to the following:

  • Develop, lead, and coordinate various administrative functions in conjunction with or in support of programmatic project compliance, including planning, prioritizing, and scheduling of work activities.

  • Coordinate cost tracking, resource planning, support service requests (e.g. MC&A, CPIMS, Ship-it, etc.), machine tool service contracts, and material levels to ensure that the technical staff is ready to perform the project.

  • Coordinate the tracking of employee training/qualification.

  • Serve as a professional buyer and designated procurement representative. o Serve as point of contact and resource on procurement regulations, policies, and practices. o Assist technical staff with completion of Sole Source Justifications, Statements of Work (SOWs), Exhibits (e.g., Safety, Security, and Environmental Subcontractor Requirements), and all other required procurement documentation. o Work closely with Quality Assurance personnel to ensure quality requirements (e.g., Management Level) are met.

  • Coordinate the review and revision of procedures, specifications, and forms pertaining to programmatic project activities.

  • Responsible for developing, improving, and implementing processes to ensure complex deliverables are met completely, efficiently, and in accordance with high-level priorities.

  • Lead communication and coordination with team-members, supervisors, and other involved organizations to ensure priorities are understood by the team, problems are identified and have plans for resolution, and that the Sigma Integrated Schedule is met.

  • Update the Technical Project Managers and Team Leaders on schedule status, issues that need deconflicting, and other risks associated with the successful execution of the project.

  • Update project management tools (Gitlab, PM2L, Confluence, P6, etc.) so that the Technical Project Managers, line managers, and program management staff have a real-time understanding of the project status.

  • Provide input into the development and status of the programmatic work packages through out the year.

  • Provide high-level service to internal and external customers while overseeing proper engagement with collaborative and support entities to ensure end-to-end delivery of tasks .

What You Need

Minimum Job Requirements:

  • Knowledge of work planning and project management principles.

  • Knowledge of government procurement regulations, policies, and practices.

  • Demonstrated experience interpreting project schedules and a proven ability to conceptualize and communicate major elements of project deliverables and milestones to both technical and non-technical personnel.

  • Demonstrated excellent interpersonal, verbal, and written communication skills.

  • Demonstrated ability to interact with all levels of internal and external personnel and customers.

  • Demonstrated strong customer service and teaming skills.

  • Demonstrated experience working effectively under pressure of deadlines, interruptions, and changing priorities, and the ability to follow multiple tasks to completion.

  • Demonstrated experience in decision making, organizing and prioritizing tasks, and taking initiative.

  • The ability to receive a Q-Clearance, which typically requires U.S. citizenship.

Education/Experience : Position requires a Bachelor’s Degree in a relevant field from an accredited institution and 5 years of directly related experience; or, an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

  • An active Q clearance.

  • Knowledge of, and experience with, Laboratory purchasing systems (i.e., Oracle Business Suite, Oracle iExpense, and Ariba).

  • Experience as an Utrain Administrator.

  • Demonstrated experience working with standardized software packages, including required software for a variety of systems and processes including purchasing, entering detailed accounting information, and tracking procurements.

  • Demonstrated skills in conducting research, investigating alternative solutions, and recommending solutions to problems affecting administrative activities, including procurement activities.

Location: This position will be physically located in Los Alamos, NM.

Additional Details

Directive 206.2-Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 . Clearance: Q (Position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements

  • for access to classified matter. This position requires a Q clearance which requires US Citizenship except in extremely rare circumstances. Dependent upon position, additional authorization to access nuclear weapons information may be required that may or may not be available to dual citizens depending upon the circumstances.

  • Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.
