Job Summary

Provides support to the Program, Chair, faculty and students in the College of Business and Management.
Duties and Responsibilities

  • Develop detailed graduation plans for individual students in  on campus graduate programs and certificates using Degree Audit System (DAS), course schedules, comparison of catalog requirements, and consideration of a student’s individual needs for on campus students. Supervise graduation review of DAS, determining that all petitions, waivers, and graduation applications are complete. Apply and release student holds, approve permissions to register and manage waitlists. Provides general guidance regarding academic program requirements; describes courses, and disseminates information regarding registration procedures.
  • Review applications of new on campus graduate admissions (i.e. assess prerequisites, update database, monitor student files). Work with GAP Program Director regarding admissions for online graduate students. Communicate with all new Graduate students in the department about requirements through welcome notices.
  • Communicate to the Chair, faculty and students regarding students with complex admission concerns/status. Identify students with advising concerns by analyzing DAS audits. Author advising recommendations in conjunction with DAS audit reviews (Spring & Fall). Contact identified students by email.
  • Research information/policies from different departments at the University and develop worksheets, handouts and documents to assist students, faculty and CBM College Advisor in understanding the college and University requirements and policies.
  • Demonstrate extensive knowledge & analysis of program requirements to provide liaison services with other campus offices (i.e. Admissions, Records and Registration, GA, International Student Services, Financial Assistance, etc.); coordinate and communicate with these offices on student issues, status, records and other unique requirements. Collect and report data for strategic planning and submission to AACSB.
  • Assist website manager and writer for the Department Website; keep information current and author/recommend newsworthy stories and articles for posting. Design content concerning program events. Includes addition of new features, updating advising materials, editing frequently. Contact students for inclusion in Graduate Internship Stories and edit before publication. Oversee maintenance of program bulletin boards, email account, mailboxes and mailing system. Facilitate revision and publication of handbooks and fact sheets.
  • Maintain program, faculty and student records and proper disposal through RIMS.
  • Direct GA and/or student worker on research and clerical tasks. Develop systematic office procedures and processes.
  • Make recommendations to the Chair based on student feedback, public response and personal experiences. Includes scheduling and graduation issues. Provide data, statistical reports, and research to the chair for program and decision-making. Prepare confidential reports and correspondences, as authorized or directed by the program Chair. Represent the unit at meetings and sign forms and documents on behalf of the Chair, as authorized or directed.
  • Arrange/schedule meetings for the Chair; prepare minutes and other essential materials for scheduled meetings. Advise the Chair of upcoming deadlines and activities. Coordinate and assist the Chair in external outreach activities.
  • Orient and assist faculty with University policies, resources, requirements and technology (Banner, DAS,TEM, Sedona, and CANVAS). Provide support for faculty as requested (i.e., order supplies and desk copies, secure motor pool reservations, classroom and conference reservations; technical and system support). Proctor exams/quizzes, as requested
  • Assist the Department Chair with course planning, assignments and scheduling. Enter accurate course schedules for Registrar’s Office and review and edit necessary changes. Monitor waitlists and prioritize students in waitlisted courses. Contact students as seats become available.
  • Perform other duties as assigned.
