The Program Specialist works as part of a larger team that creates a vibrant student experience outside the classroom. Specifically, the Program Specialist serves as the department’s primary advisor to all recognized student organizations; provides policy guidance, training, event planning support and club budgeting and payments support; and supports the development and implementation of formal co-curricular student leadership programs for undergraduate students. The Program Specialist will advance the work of Diversity, Equity, and Inclusion in making programs and services inclusive and accessible to all students.
Job Duties:
Student Organization Advising :
- Provides support to student organizations in event planning, club finances, organizational development, contract negotiation/oversight and budget development. This includes policy development, communications, and individual meetings.
- Responsible for supervision, risk management and advisement of campus-wide events, programs, club budgets sponsored by recognized clubs. Recruit and support additional faculty/staff advisors for student organizations.
Program, Event & Training Man agement :
- Oversees the implementation of various traditional events & programs, including Involvement Fairs, annual registration of Recognized Student Organizations, training opportunities, and leadership programs. Training topics cover self-governance, mission reinforcement, effective fiscal management, collaborative learning, ethical leadership, diversity and inclusion, contract negotiation, and event planning.
Student Organization Management Platform Administration :
- Act as the primary administrator for the student organization management platform, ensuring accurate organization records, event tracking, club finance tracking, and promoting student engagement.
- Responsible for understanding and leveraging how technology may advance club, department, division and university initiatives.
Financial Operations Management:
- Supports and manages club financial operations including, but not are limited to, payment and expense report approvals on the procurement platform, payment reconciliations on the student organization management platform, P-card access for student leaders, processing of club contract payments, processing student leader prizes, guidance to student organization treasurers, and communication with campus partners.
Staff Leadership Development:
- Provide leadership, supervision, professional development, and evaluation of part-time staff, graduate assistants, and/or undergraduate student staff.
Strategic Planning & Support:
- Contributes to strategic planning, development of leadership programs, and student advising. Support departmental programs and events, including annual student leadership recognition event, and participate in divisional/university committees and initiatives and the work of Diversity, Equity, and Inclusion in making programs and services inclusive and accessible to all students.
Requirements & Additional Information
BA/BS required/M.A./M.S. preferred plus 1-3 years related work experience
Experience with Budgeting will be a plus.
Driver's license preferred.
Some night and weekend work is required.
