Job Description

The Program Specialist II, under general supervision, performs moderately complex administrative and supervisory work.

Responsibilities:

  • Office Management
    • Maintain a positive work environment for all members of CIR staff.
    • Develop and manage CIR student workers/Administrative Associate.
    • Process purchases for CIR leadership team. Maintain CIR ProCard for use by center leadership. Complete monthly ProCard Expense Reports.
    • Handle CIR leadership travel, including booking and post travel expense reports.
    • Act as office manager and primary POC for CIR. Oversees day to day center operations. Serves as assistant to CIR leadership team, and as a resource for center affiliated experts.
  • Meetings & Visits
    • Schedule meetings, coordinate agendas and facilitate for both reoccurring and random meetings. Arrange virtual and hybrid events, including drafting presentations and meeting minutes as needed. Work to ensure meetings start and end on time and stay on topic.
    • Coordinate tours and guest visits to the CIR, ensuring parking, food and beverages, and all other needs are met.
    • Solicit, coordinate, and oversee CIR Seminar Series.
  • Facility Management
    • Responsible for understanding the scope and purpose of CIR labs.
    • Route issues raised by labs to CIR leadership team’s Deputy Director. Develop and recommend solutions for consideration by Deputy Director.
    • Coordinate with CIR Facilities team and recommend courses of action. Plan and host biannual lab clean-up days.
    • Support VCD Events team in managing the CIR Conference Wing.
    • Assist with scheduling shipments for CIR affiliated experts as needed.
  • Industry Engagement
    • Maintain a positive working relationship with the CIR affiliated experts, and industry contacts.
    • Assist as honest broker and “first contact” with industry engagement activities. Support and organize industry engagement activities with affiliated experts to host workshops, seminars, short courses, etc.
    • Coordinate with Communications Teams to create and oversee CIR social media and online presence. Promote CIR research, testing, and workforce development capabilities.
  • Center Plans & Reporting
    • Assist with tracking of Strategic Plan metrics.
    • Assist with Business Continuity Plans and exercises.
    • Assist with center related reporting including biennial TEES reports, WFD reports, and proposal documentation.
  • CIR Advisory Panel
    • Assist in developing goals and objectives for the biannual meetings.
    • Assist in planning and execution of the biannual meetings.
  • Provide action recommendations to the CIR leadership team on sensitive matters.
  • Other duties as assigned.

Required Education:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

Required Experience:

  • Two years of related experience.

Salary Range:

  • $3042.67+ depending on qualifications.
