Job Description

The Program Specialist II, under general supervision, performs specialist duties and advanced professional assistance work for an executive. Maintains high-level interactions with the campus community and assists with highly confidential and critical academic and/or administrative matters. Exercises discretion and independent judgment with respect to matters of significance.

Serves as the Assistant to the Associate Dean for Research & Associate Agency Director and the Chief Operating Officer as well as serve as back up to the assistant to the Assistant Director for Industry Relations. Coordination of administrative support to include travel calendars, correspondence, and meeting/visitor requirements. Coordination of various events which includes logistics (location and set-up), meals, attendees, and AV equipment. Provides administrative support for specialized activities or projects; plans and provides logistical and administrative support for events, meetings or other special functions, including on-site support; provides agendas and staffing assistance to meetings; applies, interprets and communicates University policies and procedures and serves as a resource for such; assists in resolving complex, highly sensitive and confidential administrative matters; responds to non-routine information requests; reviews forms for supervisor; supervises the creation and maintenance and retention of office files and records; attends meetings or committees on behalf of supervisor; develops, evaluates and ensures adherence to office procedures; monitors office procedures to streamline flow of operations; maintains office supplies and equipment; assures the confidentiality of mail, correspondence and reports; prepares presentation and communication materials; performs related duties as required. Assists with enterprise reports which could include Enterprise Risk Management, Research Compliance, Business Continuity, Strategic Plan, etc. Assist with advisory board meeting coordination.
 

Responsibilities:

  • Assist with coordinating various events for the Office of the Deputy Director, to include logistics such as location and set up, meals, attendees, AV equipment for campus activities and assisting with the coordination of out of town logistics.
  • Coordinates support for Administration to include travel, calendars, correspondence, meeting, and visitor arrangements for Associate Dean for Research & Associate Agency Director and the Chief Operating Officer.
  • Responsible for preparing and editing correspondence for Associate Dean for Research & Associate Agency Director and the Chief Operating Officer.
  • Organize events hosting visitors from national labs and funding agencies for campus in coordination with others. 
  • Coordinate schedules, logistics for these events with A&M faculty and administrators for campus in coordination with others.
  • Manages Associate Dean for Research & Associate Agency Director and Chief Operating Officer calendar and schedules.
  • Coordinate Associate Dean for Research & Associate Agency Director and Chief Operating Officer with others in TEES and COE.
  • Organizes, coordinates, and keeps the minutes for the COE Research Council
  • Manages travel arrangements for Associate Dean for Research and the Chief Operating Officer.
  • Manages business expenses reimbursement for the Associate Dean for Research and the Chief Operating Officer.
  • Compile reports related to the Associate Dean for Research and the Chief Operating Officer.
  • Manage budgets for the Associate Dean for Research & Associate Agency Director and the Chief Operating Officer.
  • Performs other related duties as requested or when necessary.
  • Serve as back up on tasks associated with support for the RELLIS Headquarters and Assistant Director for Industry Relations.
  • Assist with operations projects such as setting up procedures related to review and approvals of documents, Strategic Plans, Business Continuity Plans and training events, Advisory Board meetings.

Required Education:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

Required Experience:

  • Two years of related experience.

Knowledge, Skills and Abilities:

  • Knowledge of word processing and spreadsheet applications.
  • Ability to multitask and work cooperatively with others.
  • Excellent verbal and written communication skills.
  • Strong interpersonal, organizational, and customer service skills.
  • Maintains attention to detail and utilizes sound judgment.
