Job Summary:

The Program Specialist II, under general supervision, is needed to provide complex admin support to the Read Center and its two research organizations (TIP & GSCL), provide financial management support, assist in preparation of budgets and statistical/financial reports, event planning and coordination, and maintaining program records.

Responsibilities:

  • Administrative duties in support of the Thomas & Joan Read Center and its two research organizations the Talent Incubator Program (TIP) and the Global Supply Chain Laboratory (GSCL) Performs complex administrative support duties and assists in the preparation of specialized reports and presentations.
  • Provides support to the Read Center and its research organizations (TIP & GSCL) including preparing paperwork for UG/GAR student hiring/terminating process, schedule calendars, confirming meetings and other duties assigned by the Supervisor.
  • Provides financial management support to include purchasing, invoicing and expense management. Provides high-level administrative support to the Read Center which includes preparation of specialized statistical data and financial reports for travel and reimbursements, hiring   students and graduate researchers and program purchases.
  • Assists in maintaining spreadsheets for Read Center which involves updating databases, generating standard reports, etc.
  • Prepare purchase orders, meal forms, and employee reimbursements for the Read Center and its research organizations.
  • Coordinates professional development programs registration, industry communication of continued education, paperwork and invoicing.
  • Assists and books events and meetings related to Read Center, GSCL and Talent Incubator. Oversee Sbisa and RP (Research Park) be responsible for coordinating activities and issues related to Sbisa and RP Office.
  • Event Coordination: Arrange and coordinate support activities for event planning and execution of seminars, consortia, meetings that occur for the Read Center.
  • Purchases program materials and necessary items for the program operations.
  • Plans and develops specialized programs such as conferences, seminars, lectures, meetings, and workshops to facilitate program goals.
  • Coordinates specialized program communications and marketing materials.
  • Prepares program correspondence and manages Read Center activities related to other areas TEES & COE.
  • Assists in coordinating logistics and travel for program seminars, workshops, orientations and other special events.
  • Maintains program files, databases, correspondence and program materials.
  • Prepares written donor, industry correspondence, and various other clerical/administrative support duties necessary in support of the Read Center and its research organizations TIP & GSCL.
  • Other duties as assigned.

Required Education:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

Required Experience:

  • Two years of related experience.

Preferred Experience:

  • Experience in office administration or project management.

Knowledge, Skills and Abilities:

  • Proficient in Microsoft Office Suite (Excel spreadsheet applications, PowerPoint)
  • Excellent verbal and written communication skills
  • Ability to multitask and work cooperatively with others
  • Strong interpersonal, organizational, and customer service skills
  • Maintains attention to detail and utilizes sound judgment
