The Program Specialist I performs technical work and administrative tasks related to engineering testing and research functions in an engineering laboratory. Assists in planning, developing, implementing, coordinating, and monitoring programs and services.
Responsibilities:
Program Specialist l works under supervision of the laboratory management with but also requires the use of initiative and independent judgment.
Provides administrative support to key faculty, research staff and administrative personnel and provides upkeep and replenishing of all office supplies, up to and including printers, fax machines. copiers, all office equipment such as stationery and office supplies.
Assists in checking in and coordinating test specimens required for Laboratory Quality management, including documentation, and updating the laboratory’s process (task) management system in coordination with the Program Specialist III and Laboratory Manager.
Prepares, processes, and maintains reports and other laboratory quality records (Quality System) as needed and in coordination with the Laboratory Manager and Program Specialist III or IV.
Assists in the development of policies and procedures.
Assist Laboratory Manager and Program Specialist III with the management of the End-of Life process for the tested units. This includes coordination of the disposal of the units, including coordinating with the clients, managing inventory and shipping of the units back to the clients.
Audits instrument and instrument systems quality, in coordination the Laboratory Manager and Program Specialist III or IV to ensure compliance with plans, specifications, and estimates.
Assists the Laboratory Manager in social media and internet-based marketing management. Coordinates specialized program communications and marketing materials.
Provides information and collects customer requests and feedback.
Coordinate laboratory staff travel with university and industry entities as needed. Liaisons and manages customer and vendor travel for laboratory related activities as needed.
Assists the Laboratory Manager and Laboratory Director with research proposals and articles as needed.
Participates in laboratory and safety training and assists the Laboratory Manager in the maintenance of the laboratory safety and university facility requirements.
Performs related work as assigned.
Required Education:
Bachelor's degree in related field or equivalent combination of education and experience.
Required Experience:
No prior experience required.
Preferred Experience:
Experience in a laboratory or technical environment and a strong track record of customer service
Knowledge, Skills and Abilities:
Familiarity with task and process collaborative software such as Trello.
Basic knowledge of air flow and sound testing, with competency in related reporting requirements.
Competency in preparation or evaluation of specimens for laboratory or field monitoring programs.
Familiarity with testing laboratory, report processing requirements, instrumentation, and procedures.
Knowledge of word processing and spreadsheet applications. Ability to multitask and work cooperatively with others.
Excellent verbal and written communication skills and strong interpersonal and customer service skills.
Ability to plan, organize and coordinate activities and maintains attention to detail and utilizes sound judgment.
Other Requirements:
Ability to lift and move boxes and equipment, test specimens, etc.
