Job Description

The Program Specialist I performs general office support for the Exhibitor Services Director; prepares, formats and sends correspondence; assembles and distributes materials; assists the Exhibitor Services Director with tasks related to symposia exhibitor and exhibiting company registrations; reviews accuracy of documents, maintains company files electronically and hard copy, assists answering phones; operates standard office equipment; other duties as assigned by the Exhibitor Services Director.

Responsibilities:

  • Assists in the data entry of exhibiting companies, press and exhibitor registrations, preparing and sending correspondence, receipts, audits, etc. all related to the Symposia.
  • Provide general office support and back-up to the Exhibitor Services Director. Serves as Exhibitor Registration Counters Coordinator under the direction of the Exhibitor Services Director as needed.
  • Maintains and collaborates on registration for ATPS and TPS for Exhibitors, Exhibit Area Only, and Vendors.
  • Assist with completing task related to Symposia before during and after such as packing and unpacking supplies, set-up and take down of counter supplies, help with registration process, coordination of preparations, etc.
  • Is lead registration/exhibit database contact for Exhibitor Services Department with registration system vendor for booth sales.
  • Maintains Exhibiting Company files both electronically and hard copy. Assist with the maintaining records for trade out needs for symposia. Proofs materials as needed, i.e. Show Guide, signage, orders, etc. for symposia. Updates Company Contact changes as we are notified.
  • Working with & completing payments for booths, ads etc with all exhibiting companies at ATPS & TPS.  Making sure payments are made as well as tracking refunds, credits and discounts for our events.
  • Assisting with trade agreements and status of those agreements for both ATPS and TPS.
  • Assists with the Selection Session (re-booking) for all of our events annually
  • Website updates and revisions for Exhibitor web pages (hosted by TL) for TurboLab, ATPS and TPS websites.
  • Other duties as assigned.

Required Education:

  • Bachelor's degree in applicable field or equivalent combination of education and experience. ​

Required Experience:

  • No experience required

Preferred Experience:

  • Experience in event planning and customer service experience.
  • Microsoft Office Suite experience.

Knowledge, Skills and Abilities:

  • Strong interpersonal and communication skills.
  • Ability to organize effectively and meet deadlines.

Other Requirements:

  • Must be willing to travel to internationally for 2 weeks, every other year, with the potential of travel increasing in frequency.
