Job Description

This position is a member of Texas A&M Engineering's marketing and communications team and is assigned to the Office of Alumni Relations and Events. This position is responsible for managing event facilities; planning, implementing and executing special events, programs and presentations for the Texas A&M Engineering Experiment Station and the College of Engineering; maintaining the facility reservation system; and supporting departmental and donor/alumni related events as necessary. Position will require attendance at weekend and evening events.

Responsibilities:

  • Plan, implement and execute special events, programs and presentations for the Texas A&M Engineering Experiment Station and the College of Engineering; supervise, direct and coordinate event personnel and vendors, and provide post-event analysis, budget summaries and participation feedback
  • Oversee engineering event facilities at Zachry Engineering Education Complex and Center for Infrastructure Renew (CIR) at the RELLIS Campus; review and approve reservation requests; coordinate facility access, custodial needs, technology usage and furniture arrangements; evaluate and maintain facility conditions; analyze and report reservation data.
  • Support and work within with events management system
  • Serve as the main point of contact and oversee the planning and detailing of private events as it pertains to the venue.
  • Create and maintain event orders with client specific details such as floorplans and outside rentals
  • Provide guidance to clients on vendor rentals and logistics as needed with regards to each specific event.
  • Coordinate and oversee day of event plans, keeping in line with standard operating procedures while addressing any client concerns
  • Assist and support the Facilities Team with knowledge of upcoming reservations
  • Open and prep event space according to event order
  • Ensure setup and logistics are correct with respect to client needs
  • Support departmental and donor/alumni relations events, as necessary.
  • Other duties as assigned.

Required Education:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

Required Experience:

  • No prior experience required.

Preferred Experience:

  • Administrative experience.
  • Experience with planning, implementing and executing events.
  • Adobe Suite experience helpful, but not required.

Knowledge, Skills and Abilities:

  • Excellent oral and written communication skills and organizational skills.
  • Ability to handle multiple tasks and works in a past-paced, deadline-oriented environment.
  • Ability to learn online reservation system, track numerous details, employ critical thinking, adapt quickly and use creative problem-solving skills.

Physical Requirements:

  • Light Work: Exerting up to 20 pounds of force frequently lifting or carrying of objects weighing up to 10 pounds; requires a good deal of walking or standing.
