Description

Montana Western’s Road Scholar program is looking for a dynamic and organized individual with a passion for coordinating program services and activities. We are seeking a skilled Program Manager to join our team and play a pivotal role in managing multiple programs and their demands in a fast-paced environment. This position is tasked with managing services and staffing for Montana Western's Road Scholar program, specializing in educational travel programs for seniors aged 55 and older. The role involves overseeing 50-70 programs annually, including those with grandparents and grandchildren. With an average group size of 20 participants, the program generates an annual revenue of approximately $2 million. The Program Manager is responsible for arranging services with outside vendors in and around Yellowstone National Park and the Tetons, supervising group leaders, and ensuring the smooth operation of the program.

This position requires the assembly of pre-program packets containing essential information, such as schedules, participant lists, food needs, and allergies. Daily responsibilities include tracking enrollments, revenue, and expenses, along with developing strategies for short- and long-term participant satisfaction. Supervision of 15-20 group leaders and communication with vendors, participants, and the Road Scholar Program Director are integral to the role. While reporting to the Program Director, the coordinator exercises independence in operational duties, vendor relations, and program logistics.

Requirements

  • Coordinate program services, activities, and offerings to ensure smooth execution.
  • Track daily enrollments and manage participant databases efficiently.
  • Manage multiple programs and their demands in a fast-paced environment with interruptions.
  • Build and maintain positive relationships with participants, instructors, and Group Leaders (GLs) involved in our programs.
  • Utilize technology for service delivery, data analysis, and enrollment tracking.
  • Demonstrate proficiency in data management and reporting skills.
  • Process payments, track expenses, and ensure financial aspects of programs are well-managed.
  • Collaborate with a team to achieve program goals and objectives.
  • Provide excellent customer service to program participants and stakeholders.
  • Utilize Microsoft Office, particularly Excel, for effective program management.
  • Be available on occasional nights and weekends during the program season.
  • Demonstrate organizational skills and the ability to work independently as a self-starter.
  • Optional: GL (Group Leader) responsibilities on occasion for a well-rounded experience.
  • Familiarity with senior participants and their specific needs.
  • Communicate with multiple vendors for pre-program coordination, including food requirements, numbers, and timings.
  • Conduct pre-program Group Leader preparation for 15-20 GLs.
  • Gather post-program feedback from Group Leaders to improve logistics, and participant experience. 
  • Maintain a flexible work schedule with varying hours at times, including some evenings and weekends.
  • Ability to work independently with little supervision.
  • Strong organizational skills, attention to detail, and time management.
  • Knowledge of MS Office software, especially advanced Excel skills.
  • Strong interpersonal skills for managing a diverse array of individuals daily.
  • Professional demeanor.
  • Ability to track and analyze program analytics (enrollments, expenses, revenue, etc.).

Preferred

  • Love of travel.
  • Bachelor's degree in a relevant field or equivalent work experience.
  • Proven experience in program coordination and management.
  • Prior record of staff supervision.
  • Strong communication and analytical skills.
  • Ability to work with older adults.
  • Knowledge of Yellowstone National Park attractions, amenities, and services.
  • Ability to work with custom software program El Star for program updates.
  • In-depth knowledge of Montana Western’s Road Scholar program details.
  • Familiarity with campus hiring, contracting, and purchasing policies.
