Position Summary
The Program Manager - McKelvey Summer Research Programs position will lead summer research programming development, recruitment, and fellow engagement for all McKelvey Engineering summer research programs. This includes budgetary authority over routine stipend and programming expenses, execution of all OISS business processes, recruitment of new summer research applicants and conversion of previous applicants into PhD programs. This position will create opportunities and programming to increase the number of students applying to both the summer research program and the PhD programs.
This role will report to the Director of Graduate Admissions and work with the PIs and leads of the individual summer research programs.
The position requires a comprehensive and detailed understanding of graduate fellowships, OISS procedures, events, policies, as well as a high degree of initiative and independent judgment.


Job Description

Primary Duties & Responsibilities

Administration of McKelvey-wide Summer Research Programs

  • Administratively manages all McKelvey summer research programs Washington University Summer Engineering Fellowship (WUSEF), Washington University Cardiovascular Research Summer Program (WashU Cards), Computer Science & Engineering Research for Undergraduates, NSF Center for Engineering Mechanobiology Summer Research Experience (CEMB), International Student Research Internship Program, Thermal Management Research Experience for Undergraduates including supporting recruitment, selection, administration and alumni engagement. 
  • Establishes relationships and acts as a liaison to ambassadors/departments/programs/IT regarding recruitment, orientation, programming, application maintenance, housing, etc.
  • With the Admissions Director, is responsible for summer research events, including planning and executing all details utilizing relationships with departments and ambassadors.
  • Contributes to planning participation in McKelvey-wide professional development programming and create mission-specific programming for each cohort.
  • Administration of all financial components including funding for Powerfaids, issuance of decision letters and reporting to McKelvey administration.
  • Manages the website content, application details including annual updates and CRM efficiency, marketing campaigns and communication for McKelvey summer research.
  • Oversees the maintenance of record keeping, and tracking of fellows and alums.
  • Manages communications with in the Slate CRM for all summer research applicants, including but not limited to process/procedure communications such as deadline reminders and OISS information, recruitment events, information sessions and other.

Promoting Opportunities

  • Maintains information on key opportunities and serve as resource for students seeking to apply to summer research and/or the PhD programs; arranges workshops and events with external resources, as appropriate.
  • Serves as contact for the summer research programs to host custom sessions for students on PhD experiences, lab rotations, McKelvey overall, scholarship opportunities and fellowship.
  • Coordinates with the departments and summer research leads to promote growth opportunities within McKelvey, including management of the Deans Select process and chairs fellowship opportunities.
  • Manages and administers marketing campaigns for summer research participants, summer research candidates etc ensuring a strong pipeline of potential masters and PhD students.

General

  • Supports and partners with McKelvey Admissions and Recruitment in strategy development including identifying new opportunities, relationships and resources to support mission of summer research.
  • With the Director of Admissions, lead the planning and oversee implementation of a communications strategy including events, website, newsletters, and social media materials for areas within position portfolio.
  • Tracks, reports, and ensures compliance with admissions and university procedures and policies; surfaces issues to Admissions Director as needed.
  • Identifies and evaluates the methods of improving workflow and cost effectiveness and makes recommendations to Director of Admissions for improvement.

Other duties as assigned.

Working Conditions

  • Work may require evening/weekend hours as needed and at times, working remotely. 
  • Ability to travel to on- and off-campus locations.

Preferred Qualifications

  • Master’s degree.
  • Marketing, public relations, journalism, or communications.
  • Experience with fellowship and cohort programs, programming development.
  • Prior experience in a university setting.

Required Qualifications

Bachelor's degree in related field and three years of related experience or Master’s degree in related field and one year or related experience.

Salary Range
$52,000.00 - $88,800.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
