Position Summary:
Villanova University’s Office of Intercultural Affairs is rooted in values fundamental to the division of Student Life: to support the holistic development of students, to foster thriving through inclusion and belonging, to amplify equity and justice on campus, and to enhance well-being.
The Program Manager for Intercultural Affairs furthers the mission of Villanova University and the Office Intercultural Affairs by creating a welcoming place for students in the newly created SUITE, a space for underrepresented identities who are together for empowerment, and by supporting the outreach and programs of the Office of Intercultural Affairs. In general the department provides connections and programming to foster and sustain a community of respect and inclusion with a special focus on students from underrepresented identities. The Program Manager will support all functions of the department, and The Suite, by facilitating uses of the space to support, affirm, and celebrate the rich diversity of cultures and identities we welcome to our campus community and will facilitate opportunities for students and student organizations to meet, socialize, and host smaller organization events.

Duties and Responsibilities:
  • Provide oversight of operations in The Suite:
    • Build positive relationships with staff and students who utilize the Suite in any capacity
    • Manage the daily operations of The Suite by developing, managing, and coordinating use of spaces and resources with related processes and workflows.
    • Greet visitors and answer the phone directing inquiries to the appropriate department or campus resources.
    • Work in collaboration with other staff members in Intercultural Affairs and with student organizations associated with The Suite to plan and oversee activities within The Suite or department.
    • Manage space reservations for The Suite, respond to space inquiries, and work collaboratively across functions to develop a standard process for booking space.
    • Monitor space utilization to ensure equity and access to the space for underrepresented students and student organizations.
    • Liaise with UNIT to maintain copiers, printers, University-issued laptops, and other technology in The Suite.
  • Provide support to cultural and identity groups who utilize The Suite:
    • Support cultural student groups with their signature events, including supporting the planning and execution of Inclusion Week in conjunction with the student planning committee.
    • Engage with students of all identities across campus to facilitate meaningful connections and opportunities among students and student organizations.
    • Advise the Chairs of the Council of Underrepresented Students Association (CUSA) who oversee the cultural and identity groups that comprise CUSA. Assist CUSA to develop a calendar of events and manage logistics so that The Suite can be utilized for their events. Periodically attend CUSA meetings to connect with student leaders and to stay current with their needs.
  • Support financial operations for The Suite:
    • Provide support of budgets related to use of The Suite ensuring funds are utilized in accordance with University and Intercultural Affairs policies and procedures in consultation with the Director.
    • Manage the processing of departmental invoices, journal entries, and other administrative processes related to the budget.
  • Perform administrative duties for The Suite and the Office of Intercultural Affairs:
    • Serves as the primary liaison with the Facilities and Maintenance Office (FMO) in coordinating general space related maintenance projects and ensuring requests are completed.
    • Manage work orders with custodial services, facilities management, and grounds, as applicable.
  • Manage student hiring for The Suite and the Office of Intercultural Affairs: o Responsible for hiring and supervising students who are involved in the work study program o Review and approve student worker time sheets.
  • Perform other duties and assist with projects as assigned.
Minimum Qualifications:
  • Bachelor’s degree.
  • Minimum 2 years’ relevant experience (professional or paraprofessional) plus minimum 1 year student advising experience with diverse student populations.
  • Demonstrated familiarity with and sensitivity to cultural diversity competency and anti-racism frame.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work independently and collaboratively as part of a team with others to accomplish shared goals.
  • Demonstrated ability to manage conflict with some experience in conflict resolution.
  • Excellent interpersonal skills.
  • Competence in managing details, including the ability to manage multiple tasks effectively in a high traffic and busy work environment
  • Willingness to work flexible hours, including nights and weekends, especially during parts of the academic year.
  • Ability to learn software programs/technology related to budgets and students organizations.
  • Appreciation for the mission and values of Villanova as an Augustinian and Catholic institution of higher education.
  • Capacity to manage details and multiple priorities, working independently and as part of a collaborative team.
  • Strong computer skills and ability to learn new technologies.
Preferred Qualifications:
  • Master’s degree in higher education, student personnel, or related field.
  • Experience in higher education and customer service.
  • Excellent communication skills used to work effectively with a variety of individuals and groups
  • Ability to negotiate differences effectively and appropriately
  • Ability to plan and manage own workflow, priorities, and results accomplishment
Physical Requirements and/or Unusual Work Hours:
The Office of Intercultural Affairs professional staff interacts extensively with students. Consequently, it is common for meetings and events to be scheduled on campus beyond traditional work hours. The Program Manager should anticipate the need to work some evenings and weekends throughout the academic year.
The Office of Intercultural Affairs is a high-traffic and busy work environment with multiple peak periods of work activity across the calendar year. Interruptions of work tasks to attend to phone or walk-in inquiries are the norm. The Office supports students in all aspects of their university life and works collaboratively with other offices and the academic colleges to meet student needs.
