Job Summary

FAS Science Operations in the Science Division seeks an enthusiastic and experienced administrator to join our team as a Program Manager. Reporting to the Assistant Director of Science Operations, the role of the Program Manager is to lead programs and activities supporting a variety of centers, initiatives, and units within the Science Division, including the NSF-Simons Center for Quantitative Biology, the John Harvard Distinguished Science Fellows Program, FAS core facilities among others. This is an exciting opportunity for a person who is organized, responsible, goal-oriented, and committed to community building efforts.


Position Description

Working closely with the Assistant Director of Science Operations, the Program Manager will have primary responsibility for the day-to-day operations of departmental training and visitor programs and community building activities. Specific responsibilities include but are not limited to: 

  • Managing the logistical aspects of staffing, including recruitment, appointments, offboarding, visa applications, payroll, and effort reporting. 
  • Overseeing program finances by managing local financial transactions, reimbursements and ensuring compliance with University and award guidelines. 
  • Serving as the principal contact and liaison for all internal and external constituencies of the NSF-Simons Center for Quantitative Biology. 
  • Arranging travel for staff, scholars, and invited guests using Harvard preferred travel agencies. 
  • Developing and maintaining files, databases, and systems for organization of information and task management.  
  • Other administrative and programmatic duties as assigned.

Basic Qualifications

Three or more years of relevant administrative experience.


Additional Qualifications and Skills

  • College degree strongly preferred.  
  • Experience in higher education administration, with demonstrated progression of complex soft and technical administrative skills. 
  • Strong interpersonal and communication skills and the ability to adapt tone and content for a variety of audiences. 
  • Ability to work independently combined with an eagerness to be part of an exciting team. Experience working collaboratively with diverse individuals. 
  • Excellent organizational and prioritization skills with project and/or program management experience.  
  • Demonstrated commitment to successful event planning and community building. 
  • Ability to handle confidential information with discretion. 
  • Flexibility, adaptability, and a customer-service orientation are essential.

  • This is a full-time position with flexible hours and a hybrid in-person/remote work schedule option to be agreed upon at hire. Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
