Position Summary

Reporting to the Director of HR and Academic Affairs, the Program Manager manages and coordinates all activities and resources in fulfillment of the Department’s educational mission: Responsible for all aspects of the Graduate Education (GME), Undergraduate Medical Education(UME) and Continuing Medical Education (CME) programs.  Works closely with Program Directors to organize and mobilize faculty, staff and resources to support the delivery of a high-quality educational experience.


Responsibilities

  • Program Coordination :  Working with faculty directors, institutional officials & agency sponsors, manages all aspects of the training programs.  Provides administrative & logistical support to residency program director, fellowship directors & chief resident.  Coordinates with divisions to foster resident exposure to the basic science programs & physician scientist track.  Creates, reconciles & monitors resident rotations & work schedules; schedules lectures; arranges & proctors exams; manages semi-annual resident/faculty evaluations.  Identifies opportunities to improve efficiencies, develop & implement pragmatic solutions, P & Ps that improve workflow and optimize resources.  Compiles & analyzes reports; maintains program manuals/documentation.  Effectively addresses problems for faculty, staff & students; appropriately seeks input and support from subject matter experts.
  • Undergraduate Medical Education :  Serves as administrative point person for faculty, students and administrative officials for all aspects of the department’s participation in the University’s undergraduate medical school curriculum. Provides administrative and logistical support to faculty course directors including major clinical year, clinical selectives, fourth year electives and other innovations in the Medical School curriculum as they pertain to Dermatology.  Negotiates course schedules; uploads course bulletins, syllabus, lectures and presentations; prepares, proctors and scores exams and files grade reports; maintains course websites and online calendars; compiles course evaluations and meets with course directors to improve future offerings.  Organizes, coordinates and aligns medical student interests with faculty availability for electives, selectives, preceptorships, clinical research projects, shadowing, etc.
  • Continuing Medical Education :  Working closely with the faculty director, the Medical Education Coordinator is responsible for managing all aspects of the department’s continuing education programs including the monthly Super Wednesday grand rounds events.  Maintains program accreditation; responsible for event planning and logistics; coordinates guest speakers and related honoraria, travel, reception and dinners; and coordinates patients participating in clinical conference.
  • Recruitment & Selection-GME:   Manages and Coordinates recruitment and yearly interview process for resident selection, including interviews and re-appointments. Participates with Program Directors and core faculty on selection process planning and onboarding process related to ACGME requirements.
  • Compliance :  Researches, digests & disseminates information regarding regulations & policies of various regulatory bodies including ACGME, ABD, NYPH & CU.  Guides faculty, trainees & staff to ensure compliance.  Ensures regulatory requirements, documentation and deadlines are met.  Effective planning & response to periodic regulatory audits, reviews & RRC/ACGME reaccreditation; remediates deficiencies. Works with NYPH GME office to assure resident compliance with all hospital resident requirements & duty hour submission.
  • Planning : Works with faculty directors to organize courses, conferences and related events.  Updates curricula, syllabi, presentations; prepares and distributes program information and announcements; manages registration.  Confirms lecturers and guest speakers; assists with travel arrangements and itineraries; processes honoraria, travel and expense reimbursements.  Reserves rooms for classes or and meetings; coordinates room and equipment rentals and set up/clean up; arranges catering, flowers, transportation and parking; handles maintenance complaints and issues.  Arranges related receptions, lunches and dinner events.

  • Minimum Qualifications

    • Bachelor’s degree or equivalent in education and experience, plus three years of relevant experience. 
    • Expert knowledge of Microsoft Office Suite, online survey tools, and web-based database applications required. 
    • Knowledge of MedHub, ACGME programs and policies.
    • Ability to work under pressure with multiple and competing deadlines required. 
    • Must be highly organized, with excellent communication and follow up skills. 
    • Ability to work as part of a team, with administrative, clinical research, and financial staff. 

    Preferred Qualifications

    • Knowledge of Federal, State, and University policies and regulations regarding the medical education delivery is preferred. TAGME certification are highly preferred.
