Job Description Summary

The Program Manager serves as a liaison between the Program Director, the faculty, the administration, the staff, and the students in the new part-time Executive PhD in Business Program. Working closely with the Program Director, this position owns and manages all operational aspects of the part-time executive PhD program. This role will also provide support and coordination of doctoral students and their corresponding program needs as they move through the program.

Essential Duties

The Program Manager will work with the Executive PhD students as well as the Program Director in recruiting, onboarding, and managing the curriculum and information needs of the executive cohort and corresponding faculty. This role will also manage the information associated with the admissions process and will work collaboratively with academic administration, Graduate Admissions, the Registrar's Office, and Student Accounts. They will be responsible for facilitating admission applications in conjunction with the Program Director, faculty, and administration.  The Program Manager will coordinate the schedule of courses and seminars helping students plan and navigate their way through the program.  They will also oversee the executives’ migration through comprehensive examinations and the dissertation process.   The Program Manager will manage the administrative and budget issues for the day-to-day operations of the program. Finally, this position will work with the Program Director, the PhD Council, and academic administration to support strategic goals, implement academic policies, and manage and help resolve any student concerns.

Program General Duties:

  • Act as central point person between the Exec PhD Program and administrative offices at Bentley including the Business Service Center, Financial Operations, Office of Sponsored Programs, University Advancement, Human Resources, News and Communications, Academic Deans, and others to ensure smooth operation of the Program.

  • Create, develop, and administer budget development, management, tracking, and reporting for the program.

  • Order and track all supplies, licenses, and software.

  • Schedule faculty and manage planning associated with Executive PhD academic programming.

  • Maintain and continuously improve Executive PhD’s archival system (Dropbox, others) and program tracking tools including redesign of current filing and archival filing systems

  • Coordinate all applications, produce budget and other financial reports, schedule meetings and manage other deliverables

Communications:

  • Coordinate communications between Exec PhD Program and industry, academia, funding agencies, media, and policy makers.

  • Manage media outreach, including creation, preparation, production, and dissemination of outreach materials.

  • May assist with coordinating various communications about the Program including the website, social media, newsletter, press releases, and pother outreach content including text, pictures, other images, or video.

Other Duties

Initially the Program Manager will have no direct supervisory responsibilities. As the program schedule dictates, part-time administrative staff will be added or enlisted to assist as needed. This will be particularly important during intake years when a new cohort is identified and entered into the program.

Minimum Qualifications

  • Bachelor's degree with at least one year of related experience

  • Solid computer skills required (Word, Excel, Outlook, Power Point, etc.).

  • Creative problem solver with strong organization, management and communications skills as this position will interface with many internal and external constituents.

  • Experience with Blackboard required.

  • Experience with social media required.

  • Excellent interpersonal and organizational skills required.

  • Driven to succeed, tolerant of failure, motivated to improve, and open to change

Work Environment

  • Typical office setting with extensive sitting and computer work

  • This may involve on-campus as well as off-campus information sessions and recruitment events as well as attendance and participation in coordinating up to three resident/immersion weekends for the cohort each semester, including one summer weekend session.
