What we want

The Program Manager, under direction, plans, organizes, directs, and manages day-to-day activities,
for the clinical clerkship phase of the curriculum. This includes developing and implementing
procedures, processes, polices, and training for the administration of School of Medicine clinical
clerkship curriculum and education. This position requires the ability to communicate direction
from senior leadership to stakeholders at the multi- campus locations of the School of Medicine.
This position is accountable for implementing operational changes, leadership and communication,
supervision of staff, administration, policy management, process improvement, and ensuring
compliance with accreditation. The program manager will lead approximately 45 clerkship
coordinators across multiple campuses and sites.

Required Education and Experience:

  • Bachelor's degree in applicable field or equivalent combination of education and experience.

  • Five years of experience in program management, supervision or other related areas.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Effective verbal and written communication skills.

  • Strong interpersonal, leadership, problem solving, and organizational skills.

  • Knowledge and skills in accreditation (LCME)



Responsibilities:

  • Management: Work directly with the Assistant Dean of Clinical Education and other Academic Affairs leadership to effectively implement the curriculum. Oversee processes to effectively manage the clerkships across tracks and campuses/sites. Develop materials, processes, policies, and trainings to assist clerkship coordinators with their job duties. Work with the Director of Academic Affairs and the team to manage registration, scheduling, and degree program management with the TAMU Registrar Assist with the overall planning and implementation of the Bi-annual Council of Course Directors (CCD) Conference. Liaise with the Office of Academic Technology. Assist with the School of Medicine academic calendar and clerkship specific block calendars. Facilitate and manage clerkship student orientations (presentations, scheduling of presenters, etc.), meetings and sending out student communications. Input on budget process, goals and strategic planning. Provide indirect supervision for approximately 40 clerkship coordinators across campuses/ sites. Assist the Director of Academic Affairs in all aspects of Academic Affairs operations.

  • Communication and Team Building: Attend regular campus visits to strengthen and build relationships with our campuses, sites, and clinical affiliates. Write, review, and update policies and procedures in conjunction with the Director of Academic Affairs as needed. Manage recurring team meetings to support the planning and execution of Academic Affair mission. Coach and support Coordinators across campuses/sites. Ensure professional development is available and promoted among team. Foster a positive and productive work environment

  • Policies, Procedures and Accreditation: Work closely and assist the Director of Academic Affairs to collect and monitor data including the preparation of reports related to LCME elements and ongoing continuous quality improvement. Liaise with the Office of Academic Success - monitoring of student progress, tracking NBME failures, overall clerkship failures, scheduling retake dates, etc. Monitor student progression by tracking NBME Shelf Exam failures, overall clerkship course failures, scheduling exam retakes and student remediation and report out to various stakeholders, such as the Student Promotions Committee. Liaise with the Office of Evaluation and Assessment to address any issues and concerns regarding clinical evaluations, evaluation system, etc. Create reports to collect and monitor data related to LCME Standards and Elements for the Director of Academic Affairs, Office of Evaluation and Assessment, and/or Office of Continuous Quality Improvement. Ensure compliance with LCME Standards and Elements that directly impact the MD program students, faculty, and staff.

  • Central Academic Affairs Work: Work with Director of Academic Affairs and other program managers on cross phase and multi-campus projects and initiatives. Other Duties as assigned
