Job Description:

Africana Studies at Berklee was founded in 2007 as a small collection of courses
within the Liberal Arts Department of the Professional Education Division
anchored by the Africana Studies Center. In 2021 the small unit was elevated to an
Academic Division headed by the inaugural Dean of Africana Studies.
The Assistant to the Dean/Program Manager will report directly to the Dean of
Africana Studies. As a new division, the successful candidate will provide
administrative and other support services for the Dean, faculty, and students within the Africana Studies Division. The Assistant to the Dean/ Program Manager is responsible for managing daily operations of the Division such as processing paper work, maintaining files/ records, managing the Division budget, advising students, and representing the Division across the various Berklee campuses and learning environments. The Assistant to the Dean/ Program Manager oversees and facilitates a variety of Division events, programs, and projects throughout the year including those that feature visiting scholars/ artists, industry representatives, alumni, faculty, staff and students. The Assistant to the Dean/ Program Manager is the primary logistical point person for the Africana Studies Division and serves as the managing of the Africana Studies Center.

Operations:

  • Works with the Dean on short-term and long-term strategic planning and assessment.
  • Works directly with Deans from the College, Conservatory, Online, NYC or Valencia as a designee of the Dean of Africana Studies on all things related to Division and the Africana Studies Center.
  • Manages meeting and appointment schedule for the Dean and the Division.
  • Responsible for the Master Calendar for the Division.
  • Responsible for the internal and external divisional communications across the various campuses and learning environments.
  • Responsible for Divisional operating budget and annual budget preparation and long-term budget projections.
  • Responsible for expense reconciliation and works with budget managers, vendors, and institutional accounting (includes resolving discrepancies).
  • Responsible for budget transfers and budget change authorizations.
  • Serve as a divisional liaison with Physical Plant, Public Safety, Career Services, Alumni Affairs, Office of Admissions, Conference Services & Events, and other key partners across the institution.
  • Responsible for the logistical planning annual and seasonal Division events and programs such as concerts, residencies and masterclasses.
  • Responsible for planning travel, lodging and transportation logistics for visiting artists/ scholars and special guests.
  • Serve as an ambassador and advocate for the vision and work of the Africana Studies Division.

Academic Program:

  • Manages and maintain the course catalog.
  • Advise Africana Studies students in their selection of classes and prerequisite requirement.
  • Serves as a first resource (logistics, supplies and problem solving) for faculty within the Africana Studies Division.
  • Meet with and provide information about Africana Studies to prospective students and their parents who visit the college or conservatory.
  • Represent the Division at various campus-wide fairs, orientations and open houses.
  • Prepare documents and/ or edit documents to communicate Africana Studies Division curriculum options/ changes to students.
  • Collaborate with the Dean and faculty to develop new Africana Studies programs, exhibits and research projects with focus on financial and operational project management.
  • Manage annual reviews and cyclical academic program assessments.
  • Manage the logistics of annual Summer Intensive Programs and provide administrative support to Summer Intensive Program Directors.
  • Manage relationships and logistics with community partners.

Africana Studies Center:

  • Responsible for the Master Calendar for the Center.
  • Responsible for the internal and external Center communications across the various campuses and learning environments.
  • Responsible for Center’s operating budget and annual budget preparation and long-term budget projections.
  • Responsible for expense reconciliation and works with budget managers, vendors, and institutional accounting includes resolving discrepancies.
  • Supervise Student Workers.
  • Coordinates special projects such as residencies, visiting scholars/artists, festivals, master classes, symposia and the like.
  • Works with the Dean on developing and overseeing peer-mentoring program to aid in the retention and matriculation of Afro-Diasporic (Black) students across all Berklee campuses and learning environments.

Required Experience:

  • Bachelor’s Degree and 5-7 years of related experience, or a combination of education and experience.
  • Demonstrated commitment to diversity, equity, and inclusion in order to support a community of students who identify as Black or African-American.
  • Strong Passion for Student Success with experience in mentoring/ advising students.
  • Excellent interpersonal and communication abilities including writing and editing skills for reports and correspondence that professionally communicates Africana Studies activities and policies internally and externally.
  • Experience managing larger budgets and reconciling budgets on a monthly basis.
  • Must be resourceful, motivated, able to work independently, able to prioritize tasks based on overarching vision and timelines, and exercise sound judgement at all times.
  • Must be highly motivated and detail-oriented with strong organizational and administrative skills.
  • Demonstrate ability to exercise professional discretion handling sensitive or confidential information in adherence to FERPA laws in all matters of student and faculty records.
  • Familiarity with Afro-Diasporic (Black) Music, Dance & Theatre stronglypreferred.
