The Global Futures Laboratory (GFL) is seeking a Program Manager to work with the ASU-Starbucks Center for the Future of People and the Planet (https://starbucks.corporate.asu.edu/center-for-the-future ) on curating and managing a collection of projects related to planet-positive and people-positive aspirations shared by Starbucks and ASU. The Program Manager will develop deep knowledge of Starbucks and ASU to facilitate partnership building, assist co-creation of research plans by ASU experts and Starbucks experts, lead program management in support of successful delivery on 2-3 projects, and lead scheduling and coordination of Center activities.

Essential Duties

  • Actively curate knowledge of Starbucks needs, people, capabilities, and resources. Actively curate knowledge of ASU needs, people, capabilities, and resources. 
  • Participate in regular program meetings/presentations and leadership meetings/presentations.
  • Identify and describe obligations of all project stakeholders to ensure roles and expectations are aligned.
  • Assist development of project requirements with Starbucks partners, ASU researchers, and Center Leadership.
  • Formulate project plan and is held accountable for managing risks/changes for a successful program delivery, including identifying road blocks, resolving directly, and elevating issues when Center Leadership input is needed. 
  • Provide guidance to both the Starbucks and internal teams regarding project execution.
  • Ensure that the project plan reflects the contractual deliverables.
  • Complete standard business processes for purchasing, procurement, internal transfer of funds, finance, and similar. 
  • Assist with project account tracking to ensure expenses are in-line with planned budget. 
  • Work collaboratively with all members of Center Leadership and project teams. 
  • Manage schedules and procedures for accomplishing project.
  • Coordinate calendars for planning and operational needs of Center activities.
  • Assist with office management needs for staff and student workers.
  • Interface with students, staff, faculty, university leadership and external parties
  • Manage logistics of events including planning, delivery support, and post-event reporting.
  • Manage program- and campaign-related recruitment through e-mail communication; other marketing and advertising.
  • Assist with curation and delivery of ideas to expand impact and scale of programs.
  • Attend internal and external meetings; plan and manage meetings; contribute to the discussion and provide operational perspective and support. 
  • Utilize technology platforms for meetings, webinars, document sharing and communication.

Minimum Qualifications

Bachelor's degree in a related field AND five years administrative/coordination experience; OR, Master's degree in field appropriate to area of assignment AND three years administrative/coordination experience; OR Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience in building relationships quickly.
  • Experience in navigating ambiguous situations, make decisions and influence others.
  • Experience in displaying a high degree of tact, patience, and diplomacy, particularly under pressure while focusing on solutions.
  • Experience in managing and delivering multiple priorities within tight time frames and deadlines.
  • Experience in managing multiple high-priority projects in a fast-paced environment, requiring considerable coordination and follow through.
  • Experience working with remote and international teams/organizations; dealing with ambiguity, differing time zones, and intercultural communications.
  • Ability to work independently.
  • Evidence of a collaborative style, combined with the ability and desire to work in a team-based environment.
  • Experience providing high-level administrative support and planning to program leaders and/or executive level individuals.
  • Skills in communications technologies, including website management oversight, video conferencing, e-mail and marketing platforms, social media platforms and the ability to prepare high quality PowerPoint presentations/video for partnership projects and outreach.
  • Experience in principles of program management and general business. 
  • Demonstrated knowledge of Microsoft Office Suite, Dropbox, and Google Drive.
  • Evidence of effective and professional e-mail and phone communication.
  • Experience in customer service excellence

Working Environment

  • Climate-controlled office setting subject to extended periods of sitting.
  • Visual acuity and manual dexterity associated with daily use of desktop computer;
  • Ability to clearly communicate to perform essential duties.
