Summary of Job Duties:

Full Time
RN who will provide operational and program oversight for the milk bank to include but not be limited to: supply purchasing and pars, oversight of donor screeners and coordinators, development of the donor coordinating system including a bereavement donor program. This role will manage the retail space and supplies, donation drop offs and maintain long term purchases as well as supervise all milk deliveries both intake and shipping and ensure that donor data is entered correctly and milk is stored in appropriate locations. The program director will ensure adequate shipping needs are met including boxes, dry ice, packing materials, labels and maintaining shipping and courier agreements.
The Program Director will achieve CLC training and be food handler certified and will maintain familiarity with HMBANA guidelines. The program director will oversee all employees, and manage oversight of scheduling. Program Director will have training and ability to step into any needed role within the milk bank should the need arise. Program Director along with Lab Manager and Executive Director will be on rotating on call schedule for freezer outages.

Qualifications:

Required:

  • Bachelor's of Science in Nursing (BSN) licensed in the state of Arkansas.
  • Five (5) years project/program management experience with a knowledge of Breastfeeding and Lactation programs.

Preferred:

  • Master's of Science in Nursing (MSN) with a qualification in International Breastfeeding Lactation Certification (IBCLC).


Additional Information:

RESPONSIBILITIES
Promote good relationships with all who interface with the milk bank (donors, recipient families and hospitals, bereaved donors, health care providers, education groups/schools, hospital administrators, financial supporters and media/marketing representatives).

  • Uses available software to track data, donors, and input information to create reports and communicate with Executive Director and UAMS administration as needed
  • Communicates with employees with respect and fosters a community focused on positive teamwork
  • Operational Responsibilities
  • Oversee donor relations, milk acquisition, milk processing and handling
  • Reviews orders and ensures that orders are filled in timely fashion
  • Record and fill orders daily
  • Manage shipping and receiving
  • Create tracking slips and log shipments in Timeless
  • Evaluate lost shipments, log and pursue claims
  • Communicates with recipient hospitals, verifies cold chain maintained and documents
  • Oversee ordering of consumable goods and any necessary equipment purchases
  • Coordinate pasteurized donor milk recipients
  • Follow UHMB prioritization matrix
  • Set up as vendor in Workday
  • Create purchase orders and fill 
  • Log recipient information in Timeless
  • Meets regularly with Executive and Medical Director to review matrix, recipients and new clients
  • Duties related to processing and nutritional analysis
  • Works with Lab supervisor to oversee pasteurization of milk
  • Knowledgeable about HMBANA guidelines
  • Reviews SOP with Exective director and Lab Supervisor on quarterly basis
  • Reviews maintenance and cleaning logs with Lab supervisor weekly
  • Oversees nutritional analysis and approves labelling
  • Ensures nutritional analysis on donor milk and pooled milk entered into appropriate areas of tracking software
  • Coordinate with lab supervisor or designee regarding lab supplies and condition of equipment
  • Review pasteurization logs, ensure that logs match the batch/lot numbers, ensure that culture reports verified prior to shipment to recipient
  • Ensure culture results logged in appropriate tracking software
  • Ensure standard operating procedure regarding culture results is followed and if processed milk batches are contaminated that they are appropriately discarded. 
  • Ensure that inventory of raw and processed milk is done by appropriate personnel on regular basis
  • Periodically reviews cleaning, inspection and maintenance logs including zeroing logs for equipment with Lab Supervisor or designee
  • Duties related to tracking software
  • Act as laison between tracking software company and staff
  • Ensure all new hires are trainined in software use
  • Ensure updates are communicated and new training done as needed
  • Periodically checks that labels are performing as needed
  • Report hardware or software failures to Executive director and communicates with software company

Budget

The program director will ensure budget maintenance for staff and supply noting adequate shipping needs are met including such as boxes, dry ice, packing materials, labels and maintaining shipping and courier agreements.

  • Budget/Finance responsibilities
  • Maintains financial records, Purchase orders, and insurance information in appropriate recipient or milk bank files
  • If insurance involved follows up to ensure prompt reimbursement
  • Reports status of accounts to Executive Director and to Board of Directors at regular intervals
  • Creates and maintains records of invoices and accounts received
  • Verify accounting and accuracy of billing
  • Maintain records of retail space income and expenses
  • Coordinates with UAMS office of finance and Women Infant Service Line accounts/financial directors as needed to clarify accounting
  • Maintains records of consumable used, purchased and estimates of future requirements

Compliance

The program director will achieve CLC training and be food handler certified and will maintain familiarity with HMBANA guidelines.

  • Duties related to raw milk inventory
  • Oversee and coordinate other staff on logging and storage of incoming raw milk
  • Ensure records for donations kept in Timeless including weighing and labelling of raw milk
  • Monitor inventory and assess need 
  • Communicate with other regional milk banks about needs/deficits and facilitate transfer of raw or processed milk according to HMBANA guidelines as indicated during shortages.

Research

  • Assist with data collection and record maintenance
  • Director of operations may be called upon to provide education to tours, groups of students and others as needed
  • Communicates with Executive Director/Medical Director regarding ongoing research collaboration
  • Maintains CITI training as mandated for all research partners by UAMS
  • Maintains records of consents and research projects and reports on progress to Executive Director and Board of Directors as needed on regular basis

Community Outreach

  • Provide tours and educational offerings to promote community support 

Customer Service

  • Interacts with and assists the public in a professional and friendly manner as needed.
  • Demonstrates effective communication skills; communicates accurate and complete information; maintains strict confidentiality when necessary.
  • Demonstrates positive working relationships with co-workers, management team, and ancillary departments; follows the Core Concepts of Patient and Family Centered Care and the Basic Code of Conduct Guidelines.
  • Assist internal and external stakeholders as needed with exceptional customer service.
