Position Focus:

The Solomon Center for Health Law and Policy at Yale Law School is the first of its kind to focus on the intersection of law and the governance, practice, and business of health care. The Center brings together leading experts and practitioners from the public and private sectors to address cutting-edge questions of health law and policy, and to train the next generation of top health lawyers, industry leaders, policy makers, and academics. The Program Coordinator supplies comprehensive administrative support for the Solomon Center. Heavy emphasis on all aspects of event planning and organization, database maintenance, alumni relations, website maintenance and public relations and communications, budget monitoring, correspondence, expense reporting and reimbursement , and managing day-to-day office logistics. This includes but not is limited to advertising, coordination, and execution. 


Essential Duties

1.  Oversees and coordinates program activities.  Establishes, selects, implements, and coordinates administrative functions, procedures, and systems. 2.  Based on knowledge of and experience with program activities, objectives and staff, serves as principal source of information on policies, procedures, programs and office activities.  Establishes and maintains professional relationships with internal and external contacts.   3.  Processes and monitors expenses and ensures adherence to budgetary guidelines.  Prepares budget drafts based on existing budgets. May oversee, coordinate and/or complete applications and materials needed for grant submission.  4.  Composes substantive correspondence and written material. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes, produces and distributes reports or portions of reports.   May create simple databases. 5.  Provides editorial support for a journal/publication.  Proofreads and edits material for grammatical and factual accuracy.  Tracks copy through various editing and production stages.  Communicates with authors, printers, and others concerned with published work. 6.  Oversees, instructs, and coordinates activities of support staff. 7.  Ensure compliance with University, Federal, and State guidelines, rules, and regulations. 8.  May perform other duties as assigned.


Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.


Required Skill/Ability 1:

Intermediate skills with Microsoft Office Suite including Word, Excel, PowerPoint, and Access (or other database program). Knowledge of graphic design programs and website creation and management tools. Demonstrated ability to create marketing materials such as event posters, email announcements and website material.


Required Skill/Ability 2:

Demonstrated ability in all aspects of event and meeting planning and execution, including developing and assembling meeting materials, arranging rooms, catering, transportation, hotel accommodations, and cultivating and maintaining relations with special guests and their staffs.


Required Skill/Ability 3:

Exceptional organizational skills; demonstrated ability managing multiple projects, events, and calendars simultaneously. Ability to "think on your feet" paying attention to detail and letting nothing fall through the cracks despite shifting priorities and requests.


Required Skill/Ability 4:

Ability to learn the preparation of expense reimbursement, processing of financial transactions, ordering of supplies, and other required paperwork.


Required Skill/Ability 5:

Strong interpersonal skills; the coordinator is an ambassador for the Center. Ability to work a flexible schedule, adjusting hours/days as needed due to events and work flow.


Preferred Education, Experience and Skills:

BA degree preferred. Experience creating and monitoring budgets. Event planning and coordination experience in an academic setting. Interest in health law/policy issues. Experience with grant applications and required financial reporting for grant administration. Experience with hiring students or research assistants.
