Position Focus:

The team at CarDS lab represents a multidisciplinary and exciting group of postdoctoral trainees and graduate and undergraduate students across Yale, with broad collaboration with informatics, computer science, and statistics groups at Yale and at several leading institutions nationally. There will also be a close collaboration with the Yale/Yale-New Haven Hospital Center for Outcomes Research and Evaluation (CORE). CORE is a leading national outcomes research center dedicated to transforming healthcare for the betterment of people and society by leveraging data, analytics, and technology. Under the direction of the Director of CarDS and exercising wide latitude to exercise independent judgment and initiative, the Program Operations Coordinator is responsible for the oversight of the daily operations of the CarDS lab along with coordinating the design, implementation and evaluation of public health outcomes research projects conducted by investigators at CORE. The Program Operations Coordinator will coordinate the administrative and technical operations of CarDS. This will include the day-to-day administrative operations, oversight and coordination of personnel onboarding and offboarding, management and implementation of departmental policies and procedures, program communications, liaising with a variety of university departments, providing personnel support and guidance, providing general meeting support as needed, and coordinating the process of securing goods and services through Yale University from external vendors and suppliers. The Program Operations Coordinator will also, under direction of the project manager for CORE’s Center for Health Informatics and Analytics (CHIA), be responsible for reporting of results related to a variety of foundation sponsored clinical registry projects such as the American College of Cardiology Foundations National Cardiovascular Data Registry (ACCF NCDR) among others. The Program Operations Coordinator will conduct research by developing protocols for the collection of data and designing data collection instruments. They will design and implement quality control measures to ensure the efficient and accurate collection and processing of data. They will be responsible for composing status reports and analysis related to the study and they will manage project timelines.


Essential Duties

1. In support of the overall mission, plans, directs and oversees programmatic activities. 2. Develops, implements, and maintains operational policies and procedures. 3. Manages program communications; identifies outreach potential, and promotes philanthropic and collaborative support of the program. 4. Works closely with leadership, internal and external colleagues, and community residents to further develop and implement strategic plans. 5. Identifies, solicits, and cultivates community partnerships and collaborations to assist in the development and growth of the program. 6. Tracks all program activities and regularly informs leadership of progress on each initiative. Recommends structural or programmatic adjustments, changes or additions based on full knowledge of missions, goals, and objectives. Develops metrics to identify and measure the success of the program. 7. Assists in identifying and evaluating potential future funding sources, and contributes to the submission of grants and contracts supporting the program, including the annual submission and writing of all content areas and budgetary sections of grant applications. 8. Develops and manages the program's operating budget. 9. Manages the administrative infrastructure of the program. Manages human resources including staffing and hiring, supervision, performance development, counseling and discipline, if warranted. Oversees and manages information systems, facilities, and space needs. 10. May perform other duties as assigned.


Required Education and Experience

Bachelor's Degree in a related field and two years of related experience or an equivalent combination of education and experience.


Required Skill/Ability 1:

Demonstrated excellent organizational ability and time management skills. Ability to meet deadlines within a high-volume environment.


Required Skill/Ability 2:

Strong communication skills, the ability to communicate effectively and diplomatically in written and verbal forms with internal and external contacts, faculty, and staff.


Required Skill/Ability 3:

Superior computer skills including proficiency in Microsoft Word, Outlook, Excel, and PowerPoint. Proven ability to design spreadsheets and graphics and willingness to learn new technologies.


Required Skill/Ability 4:

Well-developed interpersonal skills and ability to form strong working relationships with faculty, staff, and other stakeholders. Takes ownership of providing superior customer services.


Required Skill/Ability 5:

Well-developed problem-solving skills. Proficient in framing an issue, identifying and evaluating potential solutions, and seeing issue through to resolution.


Preferred Education, Experience and Skills:

Bachelor’s degree. Experience working with confidential information and coordinating and preparing SOPs. Special skills desired include proficiency with project management tools to track timelines, resource utilization and expenditures.
