Position Summary:
The Program Coordinator is responsible for maintaining/generating a high-quality student experience throughout the entire student lifecycle, from enrollment to completion, of the professional education (non-credit) programs offered in College of Professional Studies (CPS). This individual oversees the implementation of CPS policies, procedures, and priorities under supervision of the Director of Professional Education. The Program Coordinator must possess a thorough understanding of, and responsibility for, the academic and operational requirements of academic programs including external guidelines of associated professional organizations and other agencies. The Program Coordinator is responsible for continually assessing the needs and interests of the professional education students by staying current with program trends, student feedback, and the latest technology supporting the field of study (as applicable). This individual manages day to day program activities such as course communication plans, student registration, facilitating re-enrollment efforts and re-enrollment, responding to student questions/concerns and inquiries, student and enrollment data collection, facilitating connections with University resources and offices, feedback forums, and team meetings. The program coordinator assists with program and event planning, facilities, scheduling, and administrative support for professional education courses, staff and programs as needed.

Duties and Responsibilities:
50% PROGRAM COORDINATION:
  • Manages and delivers communication plan from enrollment or acceptance through course end to students.
  • Responds to student and instructor questions/concerns providing accurate information and problem resolution in a timely basis.
  • Serves as liaison to campus-wide offices in support of students (i.e. Career Center, Learning Support Services, Bursar, Financial Assistance, and others).
  • Collaborates with Assistant Director of Professional Education as needed with non-credit reporting on enrollment and student outcomes.
  • Stays current on industry trends and current topics impacting program content and design.
  • Makes suggestions to Director about potential program improvements.

15% STUDENT SUPPORT:
  • Completes registration for professional education program students upon acceptance into the programs and continuation throughout programs.
  • Works with Director of Professional Education to inform the processing of drop/add and withdrawal of students as necessary.
  • Works with CPS Operations team on distribution process of course materials and ensuring certificates and digital badges are produced and awarded upon completion of programs.
  • Serves as students’ liaison to facilitate student retention, completion and provide a personalized experience for every student.
  • Monitors student progress and advises Director of professional education on academic standing of students as needed.
  • Pursues regular communication with program students to ensure engagement and a highly positive experience.
  • Holds feedback forums as necessary.

10% SUPPORT OF FACULTY AND CPS TEACHING & LEARNING:
  • Provides administrative support and assistance to the CPS Teaching & Learning team in administration of professional education programs.
  • Provides support to faculty members as pertains to student and course experience.
  • Coordinates academic communications to cohorts.
  • Serves as bridge between student feedback and CPS Teaching & Learning, Director of Professional Education, and Assistant Dean of Academic Programs.
  • 10% RECORD KEEPING:
  • Provides updated accurate student and alumni records in systems of record to Assistant Director of Professional Education.
  • Assists with compiling data for necessary compliance reporting.

10% EVENT/PROJECT COORDINATION AND ATTENDANCE:
  • Assists with planning, coordinating, and facilitating events for various programs such as orientations, professional panels, career workshops.
  • Attends external association meetings as needed.

5% ADDITIONAL RESPONSIBILITIES:
  • Perform additional duties and assist with special projects as assigned.
  • Participate in events with CPS on occasional nights and weekends.
Minimum Qualifications:
  • Undergraduate degree required
  • Experience in Higher Education with an understanding of the needs of the adult student.
  • Ability to develop and nurture relationships with students and creatively draw on the resources of the College and University to meet student needs.
  • Knowledge of University resources and how they are adapted to meet the needs of working professionals.
  • Ability to support instructors who often have full-time employment elsewhere.
  • Ability to communicate professionally and handle multiple responsibilities in a fast-paced environment.
  • Minimum of two years of administrative experience in an academic and/or college/university setting.

Candidate must have strong organizational, time management and relationship management skills with demonstrated ability to work as a team player. Results oriented individual who can anticipate and identify problems and opportunities and takes decisive action to proactively address them. Excellent oral and written communication skills; strong organizational, problem solving and decision-making skills are required. Candidates must have the ability to establish and maintain relationships. Sincere commitment to developing the academic, professional, and personal well-being of students. Skills in setting priorities based on the importance of job responsibilities. The candidate selected must also communicate professionally and efficiently within a fast-paced environment.
  • The candidate must be proficient in all standard computer applications, including Microsoft office products, extremely proficient in Microsoft Word and Excel.
  • General knowledge of office principles and procedures is required.

Preferred Qualifications:
  • Experience with adult learners preferred.
Physical Requirements and/or Unusual Work Hours:
  • This individual will need to attend a variety of evening and weekend events in support of programs.
