The University of Washington School of Law is seeking a Program Coordinator.

Under the supervision of the Program Support Supervisor, this position provides specialized program support to the daily operations and complex matters of the various legal clinics of the Clinical Law Program at the UW School of Law.  The major duties of this position will be to utilize program knowledge and expertise to advance the efforts of the faculty, staff, attorneys, and students that comprise the Clinical Law Program, and to independently advise members of the public seeking information about program policies and services. This position will coordinate, schedule and monitor Clinical Law Program activities to align with program goals. RESPONSIBILITIES

• Serve as primary contact with program participants, providing information and advice regarding program policies and activities.
• Perform a variety of public relations functions including responding to inquiries from the public and advising on program policies and procedures and outside resources.
• Prepare narrative and/or statistical reports regarding program operations.
•Compile and distribute information relative to program activities, confer with other campus departments and outside agencies.
• Establish and maintain hard copy and electronic case records and client files, record confidential information; maintain record-keeping and filing systems; advance digitization efforts of the Clinical Law Program.
• Complete and maintain compliance with data reporting requirement for program contracts.
• Perform complex scheduling for program activities including travel arrangements for meetings and conferences; prepare and distribute requests for travel and program related reimbursement.
• Schedule appointments and meetings as required; may include room reservations, telephone conference and video recording sessions.
• Use spreadsheet and case management database software to develop and maintain records.
• Use King County and other governmental websites for uploading and downloading of legal records and filings.
• Perform data entry into the Clio case management system.
• Process and distribute incoming and outgoing legal mail; may order, receive and maintain inventory.
• Recordkeeping and data collection as assigned, ensuring confidentiality of all documents.
• Proofread and edit copy to ensure accuracy of format, spelling, punctuation and grammar.
• Other duties as assigned.

MINIMUM REQUIREMENTS:    

• High school graduation and two years of full-time experience in a law office, social service provider, or higher education environment OR equivalent education/experience.

ADDITIONAL REQUIREMENTS:

• Clerical and database knowledge/skill using a variety of software and equipment.
• Ability to remain organized in a deadline driven setting.

DESIRED:

• Ability to learn and perform complex computer processing tasks.
• Experience with or ability to learn software commonly used at UW, including: Canvas, the official learning management system of UW; Panopto, the UW-IT supported lecture capture solution; Zoom; Microsoft Excel; and Clio case management software.
• Prior records management experience.
