The Program Coordinator has a pivotal role in ensuring the timely, accurate and thorough functioning of the Office of Medical Education. Successful functioning of the incumbent is imperative for the continued successful operation of the curriculum and office.

Associate degree or equivalent professional work experience. Demonstrable experience with computer word processing, database, and spreadsheet software (e.g.  Word, Excel, Access). Must be able to understand and learn software packages as required to meet the needs of the Office of Medical Education. Excellent attention to detail and organizational skills. Strong interpersonal skills. Significant interpersonal, communication and analytical skills are required. Ability to generate solutions is essential. Understanding of administrative structure and reporting lines is essential.



Job Summary

Performs administrative assistant support work of moderate complexity.


Essential Functions 

The Program Coordinator serves the Office of Medical Education (OMED) by supporting curriculum programs involving various community partners. These programs are designed to match students with community partner organizations and patients in order to deepen and enhance students’ understanding of clinical care, the health care delivery system, and social and structural social determinants of health. This position will also manage additional student programs that support career development and exploration.  Incumbent will be responsible for student placements, tracking progress, and supporting instructional activities. The Program Coordinator will provide administrative support to curricular programs involving internal and external stakeholders and various community partners: *Place students in community partner organizations (CPOs) based on student interest and needs of CPO. *Support the recruitment and matching of patients to students. *Track student attendance, progress, and assignments. *Serve as first point of contact for students and community partners. *Provide support for teaching sessions and events; develop, maintain, enhance, and administer systems (including Learning Management System), work plans, and timelines to executive student placement activities. *Monitor evaluation distribution, collection, and review. *Assist leadership with scheduling, program evaluation/quality improvement, and other assigned tasks. *Maintain community partners portion of website and create and distribute newsletters and other promotional tools. *Coordinate special functions as needed. The Program Coordinator will provide administrative support to career development and exploration programs: *With faculty leadership, create goals and objectives for programs, and ensure students are able to complete programs as intended. *Maintain and facilitate communication between and among OMED, faculty leadership, medical students, clinics, and other sites. *Develop, maintain, update, and enhance appropriate databases and/or spreadsheets (e.g., course or student evaluation, schedule assignments) to support tasks, design, and produce reports as scheduled or required. *Develop, maintain, enhance, and administer systems (including Learning Management System), work plans, and time lines to execute tracking of student completion. *Coordinate, prepare and/or edit narrative publications, correspondence, and reports for OMED, faculty leadership, and sites. *Coordinate special functions as needed. *Serve as first point of contact for medical students enrolled in the program.


Physical Effort 

Incumbent must communicate (verbally and in writing), filing; word processing, and other keyboard tasks; operation of office equipment (e.g., telephone, photocopier, scanner, printer). Incumbent is expected to move about Alan Magee Scaife Hall specifically and the University campus and University Medical Center generally. Incumbent may be expected to move or lift boxes of supplies up to 25 pounds.
