Position Summary

The Center for Water and the Environment (CWE) seeks to hire a Program Coordinator to perform a variety of accounting, budgetary, and administrative duties. The CWE is a research center in the UNM School of Engineering experiencing rapid growth and has recently been awarded several multi-million-dollar research grants and technical assistance contracts. The center conducts research to solve complex problems related to water quality, water quantity, ecosystems, and environmental and community resilience. The CWE is home to the Southwest Environmental Finance Center (SWEFC), which provides technical assistance and training to water utilities, local governments, and other agencies to increase their ability to provide reliable and safe drinking water. Given the rapid growth of the center, the Program Coordinator must be able to work in a dynamic and fast-paced environment, be independent, self-motivated, detail-oriented, a quick learner, and able to adapt to new situations. The Program Coordinator will be supported by the administrative and accounting staff in the Civil, Construction, and Environmental Engineering (CCEE) Department and be part of a team with that staff.

DUTIES AND RESPONSIBILITIES:

  • Provide administrative support for the CWE, including processing of PCard purchases, purchase orders, invoices, journal vouchers, and reimbursement documents.
  • Prepare and process bi-weekly timesheets, monthly leave, expense sheets, and payroll (labor redistributions/ EPAF) entries.
  • Make travel arrangements and assist with event planning for seminars and workshops.
  • Prepare routine spreadsheets and monthly account reconciliations with oversight and direction from the CCEE accounting team.
  • Perform basic accounting functions at the direction of CCEE accounting team such as salary redistributions, internal budget revisions, and 90-day memos.
  • Provide assistance to the CCEE accounting team with monitoring UNM reporting systems including MyReports and Banner reports.
  •  Serve as the shipping/mailing point of contact.
  • Perform miscellaneous job-related duties as assigned.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.

  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Experience with P-card purchasing and reimbursements and knowledge of Chrome River system processes.

Prior experience with time entry via PHATIME as either a Timekeeper or Time Approver.

Experience with Banner and MyReports.

Experience performing multiple duties and be able to prioritize work assignments.

Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in

diverse community.

Strong organizational and follow-up skills.

Proficiency with the Microsoft Office suite.

Experience with conferencing software like Zoom, Microsoft Teams, etc.

Ability to coordinate and organize meetings and/or special events.
