Summary of Job Duties:

The UA Little Rock Bowen School of Law operates a Legal Clinic, which is a law firm within the law school that provides legal services to low-income Arkansans. The Legal Clinic is staffed by supervising attorneys, and the attorneys work with law students to provide services to clients. The Clinic offers representation in several areas, including family law, tax law, consumer protection, veterans’ benefits, mediation of various types of legal disputes, and advice to small businesses and entrepreneurs. The Program Coordinator is a 12-Month, full-time position that serves as a receptionist for the entire Clinic and provides administrative support to clinical faculty and programs as assigned by the Associate Dean for Experiential Learning and Clinical Programs and by the Clinic Managing Attorney. The purpose of this position is to provide administrative support in the day-to-day operations of a busy law office held within a University setting. This position is governed by state and federal laws and agency/institution policy. Full-time university employees are eligible for retirement benefits under the university’s 403(b) defined contribution plan. Full-time university employees also are eligible to participate in its group medical, group dental, and vision insurance programs.

Qualifications:

Required Education and/or Experience

  • The formal education equivalent of a bachelor’s degree plus two years of experience in business office practices or program administration.

  • Other job-related education or experience may be substituted for all or parts of these basic requirements. 

Preferred Qualifications

  • Prior work experience as an administrative assistant in a law office;

  • Ability to use law office case-management systems;

  • Qualifications necessary to become certified as a Notary Public.

Job Duties and Responsibilities

  • Serve as the receptionist for the Clinic as a whole, including answering telephones, routing calls, taking messages, checking clients in for meetings with supervising attorneys and students, and responding to members of the public who come to the Clinic with walk-in inquiries about legal questions;

  • Conduct intake process to evaluate whether requests for Clinic representation fall within the Clinic’s scope of services, log such requests into the Clinic’s case-management software, and refer requests to Clinic supervising attorneys for further review;

  • Provide informational resources and referrals to persons whose requests for Clinic representation fall outside of the Clinic’s scope of services;

  • Respond to written inquiries (both mail and email) about available Clinic services, including requests for assistance from incarcerated persons;

  • Assist the Clinic supervising attorneys with their client and teaching responsibilities, including (1) preparing correspondence and legal documents; (2) creating and maintaining client and case files using case-management software; (3) using case-management software to screen new clients for potential conflicts of interest; (4) preparing and processing travel and reimbursement documents for Clinic supervising attorneys and students; (5) preparing check requests for Clinic supervising attorneys; (6) preparing applications for students to represent clients under the Arkansas student-practice rule; (7) preparing and mailing regular mail and certified letters; (8) ordering office supplies as needed; (9) assisting Clinic supervising attorneys in preparing, maintaining, and copying materials and documents for classes they teach; and (10) handling other duties as assigned by the Associate Dean for Experiential Learning and the Clinic Managing Attorney;

  • Assist in maintaining and updating Clinic office policies and procedures;

  • Assist the Clinic supervising attorneys and the Associate Dean for Experiential Learning and Clinical Programs with outreach events and pro bono programs;

  • Assist in promoting and advertising clinic and externship courses to students.

Knowledge, Skills, and Abilities

  • Knowledge of applicable state, federal, and university rules, regulations, and procedures;

  • Proficiency in using Microsoft Office suite programs, including Word, Excel, and PowerPoint;

  • Proficiency in using Google Docs and Google Mail (Gmail);

  • Knowledge of office-management practices;

  • Excellent organizational skills and attention to detail;

  • Ability to work collaboratively and independently with common goals as part of a team;

  • Ability and willingness to take initiative in learning and implementing knowledge of office procedures;

  • Excellent customer serviceDocs and interpersonal communication skills and the ability to conduct all interactions with the public with the utmost civility, professionalism, and empathy;

  • Ability to maintain confidentiality of client and case information;

  • Ability to demonstrate patience and accuracy in resolving client, student, faculty, and staff concerns;
