Northwestern University has a temporary Program Coordinator position available within the Feinberg School of Medicine - Department of Obstetrics and Gynecology. 

*This position has an opportunity to transition from Temporary to regular Staff (full-time, benefits eligible) based on performance/fit for the role.

Temporary Job Description:

The Program Coordinator provides oversight for all activities relating to the Undergraduate Medical Education program within the Department of Obstetrics and Gynecology, including: Administration, Evaluation, Events, Student and Faculty Support, Communication and some financial related support (e.g., expense reports, reimbursements).

This position primarily supports the clerkship and is based on the Northwestern University Chicago, IL campus, but will also be required to work one to two days ‘on-site’ approx. every 4 to 6 weeks at John H. Stroger Hospital, located at 1969 W Ogden Ave, Chicago, IL 60612, and have to pick up program materials (such as completed Evaluation forms, packets, etc.) from Stroger Hospital periodically (approx. twice a month).

Reimbursement for parking at Stroger Hospital and mileage to/from Stroger Hospital available if needed.

Responsibilities can/may include the following:

  • Ensure that medical students have the appropriate materials, resources and information to efficiently and effectively participate in the medical student program
  • Maintain and regularly update the clerkship’s print materials and handbooks, including but not limited to the Student Clerkship Handbook and Physician Supervisors Handbook 
  • Manage Course Activities for the Core Clerkship
  • Support Medical Student orientations which occur every 6 weeks at Stroger Hospital (involves things such as providing tour, getting students badge access, scrub access, evaluation boxes, explain scheduling, etc.)
  • Proctor the Mini-Board examinations as required by the National Board of Examiner guidelines at the end of each clerkship 
  • Revise students schedules throughout the course of the clerkship
  • Schedule and monitor mid-rotation feedback meetings with the clerkship director(s) 
  • Participate in scheduled site visits to Stroger Hospital 
  • Oversee the distribution and collection of medical student evaluations 
  • Compile and prepare student evaluations for final grading process 
  • Prepare student grade forms, including contribution of the various components, and document completion of the various clerkship requirements (feedback cards, H & Ps, duty hours log, patient encounter logs, observed physical exams) 
  • May assist with recruiting patients for simulations
  • Type final Clerkship Director’s Grade Report for each student
  • Perform Support Functions for the Clerkship Director(s)
  • Manage the day-to-day operations of the student clerkship office (student messages, requests, appointments) 
  • Maintain student files
  • Set up and maintain various electronic data systems for the clerkship 
  • Assist with special projects by request of the clerkship director
  • Order office supplies
  • Prepare grade packets for Sub-internship Director to facilitate final student grade 
  • Support Sub-internship Director in the various activities of the rotation
  • Provide documentation of CSF (Contributed Service Faculty) AWOME (Augusta Webster, Office of Medical Education) hours to participants on an annual basis

Minimum Qualifications/Competencies: 

Note: Job Requires working ‘on-site’ 1 to 2 days approx. every 4 to 6 weeks at John H. Stroger Hospital, located at 1969 W Ogden Ave, Chicago, IL 60612, and pick up of evaluations/program materials from Stroger Hospital periodically (approx. twice a month).

  • Bachelor’s degree
  • 4 years’ of administrative support or other relevant experience required
  • Proficient with Microsoft Office suite (Word, Excel, PowerPoint, Outlook), and overall computer skills/technical aptitude
  • Highly effective communication skills (written and oral)
  • Problem-solver; critical thinking ability
  • Must be comfortable working independently
  • Customer service/support oriented, outgoing/friendly demeanor
  • Strong organizational skills and attention to detail
  • Demonstrates initiative and follow through
  • Ability to prioritize and balance competing priorities
  • Adaptability/flexibility

Preferred Qualifications/Competencies:

  • Experience working in undergraduate medical education, academia, or the healthcare industry either in a provider or academic setting
  • Experience with human resources on-boarding type processes
  • Ability to identify process gaps and propose solutions
  • General understanding of accounting principles, experience with budgeting & financial management
