Job Description

The Program Coordinator will have the opportunity to contribute to emerging science, technology, design and policy innovations and advance new ideas and projects that advance ASU’s teaching and learning mission. This person will gain management experience while working closely with our collaborative team dedicated to expanding access to education and economic opportunity.

The Program Coordinator is primarily responsible for coordinating and directing activities within the Office of Applied Innovation’s Student Design Studio, consisting of undergraduate and graduate student members of our team who support research, analysis, and office-wide projects. The Program Coordinator will track and coordinate capacity and priorities related to any Office-wide projects the students are involved with, lead students’ professional development and team-building, and execute various administrative duties such as meetings, scheduling and onboarding. Students in our office are also welcomed to explore their own mission aligned ideas when the opportunity arises. As such, the Program Coordinator will also work with the Sr. Director and other staff to provide support to our students in any such projects, advising them on best practices, milestones, and key deliverables. 

In addition to team coordination responsibilities, the Program Coordinator will support execution of Office-wide initiatives and projects in our various focus areas, including but not limited to Shared Prosperity and Social Mobility, Government Partnerships, Data Driven Innovation, the Future of Teaching and Learning, and Public Interest Technology. Support may include helping to organize and run events, reviewing and contributing to written documents and products, and participating in brainstorming sessions.

Essential Duties

General Duties

  • Lead and coordinate the team of Innovation Analysts within the Student Design Studio. 
  • Conceptualize and execute on ideas for additional ways students can interact with our Student Design Studio, including in volunteer capacities. Conduct outreach with student organizations, groups, and programs to engage a broader ASU audience in our work. 
  • Contribute to Office-wide initiatives and projects, including help with research, analysis, writing, and developing presentations.
  • Participate in idea/concept brainstorming.
  • Lead Student Innovation Analyst team meetings and participate in all-staff meetings.
  • Assist with events and special programming.
  • Guide and advise Student Innovation Analysts on any independent projects, including best practices, methods, and defining and achieving key milestones and deliverables. 
  • Support overall office functions, including managing supply orders, assisting with scheduling team-wide meetings, serving as fire warden, and supporting staff and fellowship recruitment and hiring processes. 
Student Innovation Analyst Team Support
  • Ensure deadlines and goals are met by the student team.
  • Maintain relationships, provide updates, and provide a consistent presence for the student team in the Office of Applied Innovation.
  • Manage and update our project management platform and tracking-system to ensure timely delivery of research products. 
  • Monitor daily operations of the Student Innovation Analysts. Provide feedback on student work and progress.
  • Respond to student questions and concerns to ensure their success and development in the Office.
  • Organize the student schedule each semester, including all-team meetings.
  • Be a liaison between Office leadership and the student team to accurately portray project capacity and priorities. 
  • Work with the Sr. Director, Strategy and Partnerships, to consistently evaluate the design and implementation of the Student Design Studio, including providing recommendations for adjustments based on outcomes.
Team Hiring, Onboarding and Training
  • Lead efforts to recruit and hire new Student Innovation Analysts
  • Refine and lead hiring process to select future Student Innovation Analysts 
  • Lead coordination and execution of student team onboarding and training for future cohorts.
  • Support the onboarding process for Social Innovation Fellows by leading a session on how to work with the Student Innovation Analyst team.
  • Develop and implement supports, resources, and curriculum related to the Applied Innovation student experience.
Community Building and Professional Development
  • Plan and facilitate Student Innovation Analyst team meetings on a weekly basis. This includes coordinating the rotating article club, ice-breakers, and working with students to identify key agenda items and desired meeting outcomes.
  • Conduct weekly check-ins with students to briefly review assignments and build community.
  • Cultivate the culture and a team atmosphere for the Student Innovation Analysts, including through leading team building activities and coordinating professional development opportunities that focus on skill development related to office projects and career aspirations. The presentations should be on topics determined by the students’ needs and interests. 

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Skill in designing training materials and presentations based on the needs of student staff and office projects.
  • Ability to implement training and professional development sessions, practices and processes.  

Communication and Collaboration

  • Experience in using detail-oriented and organizational skills.
  • Ability to listen and communicate (both verbally and in writing) clearly and accurately.
  • Skill in establishing and maintaining effective working relationships and establishing and facilitating the work of teams.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require the ability to quickly change priorities, which may include and/or are subject to the resolution of conflicts.
  • May be required to perform tasks in the field within and/or across University campuses.
  • Ability to clearly communicate to perform essential functions.
