Program Coordinator-Sp Events


Department:
Administration and Planning | DPS Central Campus Security

Provides primary administration for the Special Events operation of the Department of Public Safety and ensures compliance with State, University, and Department policies, procedures, and guidelines. Tracks special events on campus and anticipates public safety staffing needs for special events. Serves as initial point of contact regarding special event staffing needs. Obtains event details and explains staffing options and cost to special event sponsors. After consultation and approval by Police Division command staff or other DPS senior administrator as appropriate, posts staffing requirements for University and non-University sponsored events. Maintains database of on-campus special events and coordinates with DPS division directors, other University departments and outside agencies and vendors to ensure special events are properly staffed. Ensures special events and special duty assignments are awarded in compliance with appropriate policies, guidelines, and procedures. Prepares and disseminates assignment rosters for events, collects rosters post-event and confirms they have proper supervisory verification. Assists with special events billing, payroll, and depositing payments. Assists with reconciliation process and month/year-end close activities. Creates and maintains event files, maps, and deployment charts. Posts department overtime opportunities. Maintains Special Duty and DOVT assignment books. Assists with developing the Special Events annual budget. Reviews construction Maintenance of Traffic plan to ensure proper signage and staffing when necessary. Reviews schedules regarding construction, events, and daily operations on campus to ensure safe and easy access around campus. Prepares special event estimates. Collects and disseminates weekly campus event listings. Prepares monthly and yearly summary statistics and projects future scorecard metrics.
 

Minimum Education Required
Bachelor's Level Degree or equivalent combination of education and experience
 

Required Qualifications
Three years of experience in logistics or event planning and coordination. Experience with Microsoft software. Ability to type, create, and distribute reports and spreadsheets. Must possess a high level of dependability and the ability to work with confidential information.

Desired Qualifications

Experience with PeopleSoft. Experience with timekeeping systems. Knowledge of human resources and fiscal policies and procedures. Experience working with the University's E-Reports system. Familiarity with police or public safety operations. Experience working with InTime Public Safety Scheduling software.
