POSITION SUMMARY

Reporting to the Associate Dean for Graduate Programs, the Senior Program Coordinator will lead the coordination and implementation of Graduate Student Affairs (GSA) assessment activities and data analysis; coordinate and support the University Center of Exemplary Mentoring (UCEM) and  Graduate School-wide diversity, equity, and inclusion initiatives; and provide graduate students support. The coordinator collaborates with various campus stakeholders to ensure data-driven decision-making and continuous improvement within GSA. The Senior Program Coordinator is expected to act on his or her own initiative in directing GSA assessment, student support, and the Graduate School-wide diversity, equity and inclusion initiatives. Full-time team members of Graduate Student Affairs are currently eligible for a hybrid work schedule; this option is subject to change based on departmental needs.

DUTIES & WORK PERFORMED: 

1. Assessment and Data Analysis: 40%

  • Assessment Planning and Coordination

    • Collaborate with GSA staff to develop assessment plans and strategies to evaluate the effectiveness of programs and services.

    • Coordinate the collection, organization, and analysis of assessment data.

    • Maintain documentation and records related to assessment processes and outcomes.

  • Data Analysis and Reporting

    • Interpret assessment results and prepare comprehensive reports and presentations to communicate findings.

    • Develop data visualizations, dashboards, and other tools to effectively present assessment data in a clear and meaningful way.

    • Assist in implementation of the annual assessment plan by compiling, analyzing and summarizing GSA data for annual, bi-annual, and quarterly reports. Develop report templates and distribute regular and ad hoc reports for internal use and campus offices as requested.

  • Program Evaluation and Improvement

    • Work closely with the Associate Dean to ensure data-driven decision-making and inform programmatic improvements.

    • Analyze data to identify strengths, weaknesses, and areas for improvement within GSA.

    • Monitor and evaluate the impact of improvement efforts and revise strategies as needed.

    • Offer guidance on best practices in assessment and data analysis to promote a culture of continuous improvement within GSA.

  • Collaboration and Communication

    • Collaborate with other stakeholders and external partners to coordinate assessment efforts and share best practices.

    • Maintain effective communication channels to facilitate the exchange of assessment-related information and promote data-informed decision-making.

    • Participate in meetings, committees, and professional development activities related to assessment and data analysis in graduate education.

2. Inclusive Excellence Programs 40%

Duke University Center of Exemplary Mentoring (UCEM) Administrator

  • Administrative coordinator for Duke University Center of Exemplary Mentoring (UCEM)

  • Serve as liaison to all Sloan Scholars and their departments (chairs, directors of graduate studies, faculty, assistants) for matters related to Duke UCEM

  • Prepare weekly check-in messages to Sloan Scholars

  • Serve as primary administrative contact and national UCEM liaison on all UCEM related matters

  • Develop, maintain and monitor databases and listservs for Sloan Scholars and update records as needed

  • Manage Duke UCEM budget expenditures and coordinate all budget related matters (e.g., faculty stipends, department activity funds, program expenses) with finance team

  • Manage and provide oversight for the nomination and selection process for the incoming cohort of Sloan Scholars

  • Manage charts, tables and demographic data throughout the application, nomination and admission process

  • Serve as lead coordinator for the Duke UCEM Early Start Research Immersion Program

  • Review and evaluate feedback for the Early Start Research Immersion program

  • Manage logistics for all Duke UCEM meetings, space locations, and catering

  • Oversee the nomination and registration process for the annual UCEM Conferences, which includes tracking scholars participation, assisting with travel logistics, and overseeing timely submission of required conference documents for participants, and processing of reimbursement for travel

  • Provide a supportive environment for all Sloan Scholars as the front line for The Graduate School and Duke UCEM

  • Supervise and manage Sloan Administrative Interns on various UCEM/Sloan Scholar projects, event planning and administrative tasks throughout the academic year

  • Develop and track UCEM timeline, various tasks and achievement metrics.

  • Coordinate UCEM institutionalization initiatives.

Diversity, Equity and Inclusion Initiatives Coordination

  • Work directly with, and report to, the Dean of GSA and the Director of UCEM to coordinate and support program-wide diversity, equity, and inclusion (DEI) initiatives, diverse student support, advising, peer affinity groups initiatives, and mentoring programs.

  • Coordinate and support the diversity, equity and inclusion initiatives that align with GSA’s values and positively impact Graduate School programs’ culture and climate.

  • Collaborate with the Assistant Dean for Graduate Student Development to assist in the development and implementation of inclusive excellence program protocols, procedures, and operating policies for DEI initiatives and GSA.

  • Collaborate with Graduate School academic programs and Student Affairs Identity and Cultural Centers in promoting the awareness and implementation of best practices and evidence-based efforts related to DEI education, community engagement, and leadership development.

  • Coordinate and oversee identity and cultural events such as Heritage Month Celebrations in collaboration with Identity and Cultural Centers and student affinity groups.

3. Student Support: 10%

  • Recording, tracking, and managing sensitive and confidential data regarding students of concern.

  • Manage sensitive and confidential data regarding students of concern, including reporting responsibilities to assist affiliated offices. Functional responsibility for data integrity as well as creating reports from the student case management system.

  • Support the student hardship application process and serve on the hardship committee. Collate data from hardship applications to provide reporting on trends and assist in developing criteria to standardize decisions.  

4. Administration: 10%

  • Support the associate dean’s duties: manage appointment calendar, schedule meetings, send follow-up materials; coordinate meeting arrangements, assist with the prepation of documents; and conduct research and compile data as required.

  • In collaboration with the GSA Senior Program Coordinator, provide support for signature events such as New Graduate Student Orientation and the PhD Hooding Ceremony.

  • Serve as part of the GSA rotation for the front desk lunchtime coverage and as needed.

  • Perform other related duties incidental to the work described herein.

Preferred Qualifications:

  • A bachelor’s or above degree in a relevant field (e.g., social sciences, research methods, statistics).

  • Previous experience in assessment and data analysis in a higher education or graduate student affairs setting is highly desirable.

  • Strong analytical and critical thinking skills, with the ability to derive meaningful insights from complex data sets. 

  • Comprehensive knowledge and understanding of student development, identity formation, and the intricacies of social identities.

  • A commitment to diversity, equity, and inclusion.

  • Excellent written, verbal and interpersonal skills, including a friendly, professional interaction style is required.

  • Detail-oriented and excellent organizational skills, with the ability to mange multiple projects and meet deadlines.

  • Demonstrated ability to work collaboratively in a team-oriented environment.

  • Excellent customer service skills. Skills relevant to achieving successful relationships with students, faculty, and other staff.

Minimum Qualifications

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires three years of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANTEDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
