Position Summary
The Undergraduate Programs Coordinator works closely with the chairs of undergraduate studio art, design, (College of Art) and architecture (College of Architecture) to execute ongoing delivery of academic programs. The Coordinator supports academic planning, communications efforts around program offerings, and interactions with Sam Fox School IT, Registrar, and Business offices. The Coordinator works 60% for the chairs of Art and Design and 40% for the chair of Architecture. The Undergraduate Programs Coordinator reports to the Director of Art. In addition, the Director of Architecture provides performance feedback for annual reviews.


Job Description

This position requires the ability to work occasional evenings and weekends; ability to travel throughout the St. Louis area; be able to drive university vehicles as needed.

Primary Duties & Responsibilities

Program Support

Undergraduate Studio Art and Design and Architecture

  • Work with chairs of Studio Art and Design and Architecture.
  • Manage program calendar and coordinate with master college calendar.
  • Generate mid-term and final semester review schedules.
  • Maintain and update the Sam Fox School undergraduate Student Resources website section on “Inside Sam Fox” for protocol, rules, regulations, resources, etc.
  • Track on-going curricular projects, emails, communications and initiatives with chairs.
  • Conduct area-wide projects as assigned by chairs.
  • Studio manager for Communication Design, Fashion, Studio Art, Foundations and Architecture.
  • Track budgets for Studio Art and Design and Architecture programs including course expenditures.
  • Purchase equipment and supplies for classrooms and faculty.
  • Manage the collection and archiving of student work documentation.
  • Manage special events including lectures, lunches, charrettes, and field trips, including travel arrangements for visitors.
  • Attend regular meetings with College of Art chairs + staff. Attend regular meetings with College of Architecture chair + staff.
  • Act as recording clerk for faculty meetings in Design, Studio Art and Architecture and copy to appropriate director.
  • Coordinate the annual College of Art Senior Shows including visitors, vendors and  financing. With Architecture Administrative Assistant, coordinate annual Architecture Senior Show(s).
  • Coordinate the Sophomore Exhibit and Foundations Exhibit - Studio Art and Design.
  • Coordinate, track and manage the scheduling of live models for courses - Studio Art and Design.
  • Liaise with partner institutions to facilitate the student application process for residencies - Studio Art and Design.
  • With Fox Fridays administrator, purchase and manage purchases for weekly hands-on workshop program.

Academic Planning


  • Assist chairs in academic planning.
  • Occasionally create and conduct surveys to gather information from students regarding  course interest and curricular initiatives.
  • Manage and update the Art and Architecture syllabus templates.
  • Provide administrative support including note taking for the Art Curriculum Committee and the Architecture Curriculum Committee.
  • Develop and distribute curricular information to current students.
  • Generate room usage document - Studio Art and Design.

Communications

  • Act as support for annual orientation of freshmen and sophomores.
  • Communicate with facilities staff and faculty regarding ongoing facilities projects.
  • Work with student groups as advisor-liaison including Art Council, AIGA, Architecture Student Council, Women in Architecture and Design, etc.
  • Work with 1st year advisor as administrative assistance to Peer Mentor program.
  • Create programming and opportunities for students to interact with faculty including town halls.
  • Liaise between students and IT for printing issues and PaperCut.
  • Update college website as needed.
  • Act as back-up for graduate program coordinator and directors administrative assistant - Studio Art and Design.
  • Facilitate semi-annual option studio lottery - Architecture.

Perform other duties as assigned.


Preferred Qualifications

  • Bachelor’s degree.
  • Three to five years previous experience working in higher education administration, student services and/or art, architecture, and design programs.
  • Experience managing confidential student records and databases. Knowledge of Washington University’s SIS systems.
  • Knowledge of WorkDay.
  • Experience managing student workers or interns.
  • Basic document design experience.
  • Excellent organizational, interpersonal, and communication skills.
  • Demonstrated writing/editing skills.
  • Ability to manage multiple projects and priorities.
  • Ability to work successfully in a student-centered academic environment with range of internal and external contacts.
  • Ability to manage multiple projects at once; ability to synthesize and prioritize information and projects. Proficiency with Microsoft Office applications, particularly Word, Excel, and PowerPoint.
  • Ability to work the backend of content management systems.
  • Experience with Adobe, SIS and CANVAS.


Required Qualifications

High school diploma or equivalent high school certification and three years relevant experience.

Salary Range
$20.15 - $31.26 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
