Job Overview

The Department of Mathematical Sciences at the University of Cincinnati seeks to hire a Program Coordinator.  The department is one of the largest in the College of Arts and Sciences and is an active, diverse and growing department with a mission that spans research, instruction at the graduate and undergraduate levels, and community and professional service. The Program Coordinator serves as the primary administrative contact for students in our graduate programs. The Program Coordinator's responsibilities also include duties in the areas of Academic Support; Administrative Duties; and HR Support and general administrative support within the department. 

 

The graduate program works collaboratively with faculty, staff, students, and other stakeholders to achieve set goals. The ideal candidate will be a valuable contributor to the team, as well as be able to work independently, solve problems and have strong attention to detail.


Essential Functions

Academic Support

  • Serve as primary contact for all departmental graduate programs and students.
  • Provide graduate student assistance including graduation certification, graduate coursework documentation and student tracking.
  • Manage and administer data collection and records for the department graduate programs.
  • Prepare and maintain departmental databases and generate periodic program data reports.
  • Coordinate international student admission with ISSO.
  • Assist Graduate Director with the admissions process including Slate, Catalyst, data entry; coordinate/process graduate scholarships and fellowships.
  • Schedule and administer graduate qualifying and preliminary exams.
  • Respond to graduate program-related inquiries (written, in-person, or telephone) from faculty, students, and general public.
  • Work collaboratively with graduate school staff on student and program issues.
  • Coordinate prospective student visits, orientation events, etc.
  • Maintain confidentiality of information.
  • Develop CaRT reports as needed.
  • Coordinate with UC Evaluation surveys to administer student evaluations for courses.

Essential Functions Continued

Administrative Duties

  • Assist Program Director in creating a budget for Graduate Assistants, scholarships, and internships.
  • Update/maintain department websites.
  • Assist with undergraduate program administration on an as needed basis.
  • Aid in communication with graduate alumni.
  • Aid in event planning (e.g., scheduling and arrangements).
  • Aid in marketing (e.g., advertising department’s programs, courses and events).
  • Perform general department administrative duties (sometimes independently & sometimes collaboratively) based on departmental need.

 

HR Support

  • Process hiring requests and schedule payments for Graduate Assistants.

Required Education
  • Bachelor's Degree.
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience

One (1) year of program coordination experience.


Additional Qualifications Considered
  • Strong data-entry and computer skills including experience using Microsoft Office Suite, database software, and/or other similar software programs.
  • Strong written and oral communication skills to assist with official offer letters, email distributions, and online information. Experience is ideal, particularly within an academic setting.
  • Strong organizational and time management skills.
  • Excellent interpersonal skills and professional demeanor.
  • Demonstrated ability to work effectively and respectful with individuals from a wide range of backgrounds.
  • Demonstrated ability to work well in a collaborative, team-based atmosphere.
