Job Description

The Project Coordinator – Leadership Academy is responsible for coordinating CECPD’s Leadership Academy training for directors/administrators of licensed child care facilities in Oklahoma and coordinating other CECPD-sponsored training. This position will coordinate requests for CECPD to exhibit and present at conferences across the state. In-state travel is required, and the Project Coordinator-Leadership Academy must have a reliable automobile at his or her disposal and a valid driver’s license. The Project Coordinator – Leadership Academy reports to the Project Director, Professional Development Approval System.

Responsibilities:

  • Plan and monitor Leadership Academy I (LA I) and other assigned training events and conferences
  • Travel across the state, including driving to events, conferences, various meetings, planning, and a review of venues
  • Work will require some nights, weekends, and overnight stays 
  • Have a reliable automobile at their disposal and a valid driver’s license
  • Develop budgets for LA I and assigned events, as needed
  • Track and monitor expenses on all assigned events
  • Research and identify presenters and meeting space for events
  • Negotiate and initiate contracts for presenters, space, and food
  • Coordinate the ordering and/or printing of event materials
  • Provide or arrange for staff to provide onsite event support, including setup, support during the event, and post-event cleanup
  • Assist in the recruitment of LA I participants and review applications
  • Communicate with LA I applicants regarding their status, attendance, and pre-event paperwork
  • Track applications, acceptances, and attendance for all LA I participants
  • Answer questions via phone, email, and in-person from participants, funders, partners, and staff regarding Leadership Academy and assigned CECPD-sponsored training
  • Arrange for CECPD to exhibit at conferences on request or as identified by OCCS or the CECPD Leadership Team
  • Track additional data and activities as directed by the supervisor
  • Complete assigned monthly performance dashboard reports and other reports on request
  • Participate in scheduled team and center-wide meetings and required OU Outreach events
  • Submit time certification and distribution forms monthly
  • Submit claims for applicable work travel monthly
  • Perform other related duties as assigned
 

Job Requirements

--- 

Required Education Bachelor's Degree or equivalent combination of education/job-related experience, AND: 

  • 18-36 months experience in event management.

Skills:


  • Proficient in Microsoft Office programs, including Word, Outlook, and Excel.
  • Ability to meet deadlines without direct supervision.
  • Excellent communication skills, both verbally and in writing.
  • Knowledge of adult learning principles
  • Highly organized and able to handle multiple projects and deadlines
  • Demonstrated oral and written communication skills
  • Ability to apply organizational and human resource development principles
  • Ability to interact effectively with the university community, government agencies, funders and partners, independent contractors, and the public
  • Computer and research skills
  • Ability to work effectively with frequent exposure to  pressure caused by deadlines, busy periods, and a high volume of public contact

Certifications:

  • Valid driver's license

Department Preferences:

  • Experience with event/conference planning (Including venue sourcing and reservation, coordination of presenter and speaker materials, equipment setup, and logistics).
  • Experience working with grants and contracts.
