Description

 

Summary: In addition to providing administrative support to five (6) faculty members; manages marketing processes and updates with AHC Medical Director; maintain licensing and re-credentialing paperwork on all faculty; prepares agenda, takes, and distributes minutes for the monthly division, QI and clinic staff meetings, and other meetings as assigned. Assists with PowerPoint presentations as assigned. Will also make weekly patient appointment reminder calls. Manages Adolescent Medicine rotation, residents, and acting interns’ schedules and create packets for orientation.

Duties/Responsibilities:

Maintains faculty meeting schedules. This includes scheduling meetings as needed and adding all clinical schedules to each individual faculty members' calendars. Assist faculty members with time off request forms including professional leave. Assist faculty with UAB & COA re-credentialing paperwork. Maintain copies of required licenses and reminds of upcoming renewals (Alabama Medical Licenses and Controlled Substance). Maintains copies of memberships and reminds/assists with renewals. Maintains all mandatory requirements-Corporate Compliance, TB, and Flu. Maintains CME/MOC mandatory requirement files for faculty. Prepares agenda, creates zoom link, takes, and distributes minutes for all monthly division meetings.

Creates and distributes faculty and fellows monthly on call schedules. Creates, prepares, and distributes monthly adolescent providers' clinical schedules for Adolescent Health Center, LEAH, Family Court, Family Clinic, SHINE, Nutrition, Eating Disorder, and other specialty clinics. Adolescent Medicine rotation, residents, and acting interns creates clinical and lecture schedules for new residents, prepares packets for orientation, collects demographic and pre-rotational forms, and submits documents to the residency office, and enters evaluations into MedHub. Creates schedules and prepare orientation packets for medical students.

Assist faculty with travel arrangements and conference registrations. Completes UAB/HSF requisitions and payment requests and processes travel reimbursements. Makes pre-approved purchases with the PCard and reconciles transactions. Orders office supplies. Submits monthly moonlighting spreadsheet and Medical Director reports.  Assists faculty with Green hire gift cards process for their research projects.

Makes patient calls regarding appointments and keep log for reporting purposes. Manages marketing processes and updates with AHC Medical Director regarding events or materials needed.

Perform other duties as assigned.

Salary Range: $18.35 - $29.80

 

Qualifications

 

Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE. 

Preferred:

Experience: 1-2 years of grant and manuscript writing; 5 years administrative office and/or clinical experience

Knowledge, Skills, & Abilities: Written and verbal communication skills, Interpersonal skills

Skills: Ability to work independently with minimal.
