Description

 

Summary: Under minimal supervision, coordinates administrative, personnel and logistical support for a defined department program (s), often of a large and/or complex nature. Carries out established program objectives and directives. Follows established guidelines or protocols. Determines the best approach to accomplish assignments. May participate in program planning and in setting program objectives. May supervise support staff. May act as a communication liaison and special events planner. Interfaces with outside resources such as volunteers, alumni, patients, other professionals in a defined field or with continuing education students. May be responsible for adherence to program budget and/or other fiscal duties. May assist with grant and contract preparation and submission. May handle data management.

 

  • Assists/supports multiple General Pediatrics faculty members. Assists in answering multiline telephone. Maintains faculty meeting calendars. This includes scheduling meetings as needed and adding all clinical schedules to each individual faculty calendar Assists w/ the development of revision of forms for HSF Primary Care Clinic. Updates faculty CV’s as needed. Assist faculty with time off request forms including professional leave.

 

  • Assist faculty with UAB and COA medical staff office re-credentialing submissions. Maintains CME/MOC/Mandatory Requirement files for faculty. Maintains faculty licenses. Completes UAB/HSF requisitions/payment requests via UAB Oracle or HSF requisition and orders supplies via Oracle. Assists faculty with travel arrangements. Coordinates and distributes monthly UAB Hospital Newborn Nursery resident email. Coordinates, creates and distributes UAB Hospital Newborn Nursery resident calendar with Primary Care Clinic days. Creates, maintains and distributes monthly Newborn Nursery attending calendar. Maintains all forms for UAB Hospital Newborn Nursery faculty filing cabinet. Creates and revises forms as needed.

 

  • Distributes monthly email to RNICU Residents. Maintains Folders/Documents on Guidebook share drive Creates new folder/tracking sheets for incoming interns. Ensures all Residents and Faculty complete required UAB Baby Friendly breastfeeding training within 6 months of date of hire. Sends Residents and Faculty reminders to complete NBN SCO forms (Monthly).

 

  • Assists with maintaining documents on Primary Care Clinic Guidebook. Creates and distribute PCC Pager schedule monthly for Primary Care Clinic. Creates HSF Primary Care Clinic Residents by day schedule for academic year. Coordinates and distributes monthly primary care immersion (PCI) rotation schedules. Maintains weekly Spotlight schedule and documents by reviewing, printing, and uploading to Guidebook. Assists with the departmental copier, fax machine, conference calls and AV equipment. Review Amion website for changes to residents RNICU, NBN, or PCC schedule. Creates individual monthly resident evaluations for NBHM Attending’s in UAB Box. Uploads NBHM schedules to Box.

 

  • Sends Housestaff office medhub schedule based off NBHM calendar for the month. Coordinates/schedules Alabama Child Health Improvement Alliance (ACHIA) meetings/conference calls. Completes and distributes meeting minutes for weekly ACHIA meetings. Maintains research data for Medical Practices for ACHIA. Organize and distribute ACHIA collaborative toolkits. Constructs documents to be uploaded and shared on ACHIA website. Assist with ACHIA website updates. Updates and organizes ACHIA share drive and compares to information in ACHIA Dropbox. Attends ACHIA related meetings. Answer ACHIA telephone line. Monitor and respond to emails that come to [email protected] email address. Coordinates ACHIA steering committee quarterly meetings and distributes meeting minutes.

Salary Range: $18.35 - $29.80

 

Qualifications

 

Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
