The Health Science Center (HSC) is looking for a Program Coordinator II to serve as a member of the Office of Graduate Research, College of Medicine team. Job Summary: The Program Coordinator II, under general supervision, is responsible for handling the day-to-day operations of the MD Plus program, and collaboratively working with leadership to plan, develop, and implement initiatives related to the expansion of this and other graduate programs in the College of Medicine, while creating excellent relationships with stakeholders. This person needs to be highly motivated, self-driven, who shows initiative to start ideas, establishes long and short-term goals in strategic planning, and follows up with action items


Required Education and Experience:

  • Bachelor's Degree

  • Four (4) years of related experience


Required Special Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others.

  • Experience working with diverse individuals and communities.

  • Ability to organize work effectively and prioritize objectives with discretion, independent judgment and initiative.

  • Excellent written communication, analytical, interpersonal, planning, and organizational skills.

  • Proficient knowledge of Windows/Mac, Microsoft, and Adobe software

  • Ability to work with sensitive information and maintain confidentiality


Preferred Education and Experience:

  • Master's degree in Education, Business, Biomedical Sciences or related fields

  • Five (5) or more years of experience related to College of Medicine and TAMU procedures


Preferred Special Knowledge, Skills, and Abilities:

  • Availability to work beyond normal office hours and/or work on weekends

  • Knowledge of student information systems, degree planning, and degree audits.

  • Knowledgeable of TAMU academic program tools such as Howdy and COMPASS, ARGOS, Graduate CAS.

  • Experience in keeping engagement in social media, especially LinkedIn, Instagram, and Twitter.

  • Experience with data storage in Google Drive, One Drive, Microsoft Teams, Slack, Canva

Responsibilities

  • MD Plus Operations, Recruiting and Outreach:

  • Assist MD Plus students (medical students who choose to pursue an additional master's degree) to transition from and to Medical School in collaboration with the College Admission Office and the Graduate and Professional School.

  • Facilitate the student connection and relationships with their respective graduate college, mediating the transition between the professional and graduate curricula, developing and updating materials and delivering training to students to make those transitions

  • Complement graduate advisors in any aspects related to degree plan, registration, add/drop courses, capstone projects, student advisory committee support, and policies from the Graduate and Professional School.

  • Prepares various academic and advising reports regarding application, admission, retention of students; develops systems for maintaining records of student contacts

  • Develops and revises informational materials, conducts new student orientation conferences, and other events that contribute to the cohesiveness of the MD Plus program

  • Participate in the organization of recruiting activities and the creation of marketing materials, attend recruiting events, and deliver information to applicants and interested audiences through conferences, graduate fairs, and other venues

  • Organize professional development events tailored to medical students with a focus on leadership and networking, and connection with former students

  • Organize the logistics of administrative meetings with various leadership office to enhance clear communications and collaborations

  • Strategic Planning:

  • Collaborates with the Director of the MD Plus program to establish short and long-term goals around the expansion of Master's options for MD students and better integration of dual curricula.

  • Develops and maintains relationships with faculty and staff within the College of Medicine and with other Colleges to guarantee the continued collaborations between these units in the offering of Master's options to medical students

  • Assists faculty and Department Heads in the development of new graduate programs, establishing goals, policies, and procedures; and supporting with the administrative implementation and evaluation of those new programs

  • Assists faculty seeking the creation of new programs in logistics and identification of new funding opportunities

  • Social Media and Website Presence:

  • Manage social media platforms (Facebook, Instagram, twitter) to keep up-to-date content about student spotlights, professional development opportunities, and recruiting events

  • Collaborates with the Office of Marketing and Communications to maintain the MD Plus website with up- to-date content relevant to all stakeholders

  • Fiscal Responsibility:

  • Monitor the MD Plus expenses to make sure purchasing activities and networking events stay under budget

  • Other Duties:

  • Performs other duties as assigned.
