Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Coordinator II for the Graduate School of Education-Dean’s Office. This position will support the coordination and administration of all Center and Institute programs, events, initiatives, and fellowships. The Program Coordinator will also provide communication and research support to the Executive Director of the Samuel DeWitt Proctor Institute for Leadership, Equity & Justice (Proctor Institute) as well as the Rutgers Center for Minority Serving Institutions (CMSI).
Among the key duties of this position are:
  • Assist with the planning, preparation, and control of communications, events, records, reports, data collection, and corresponding administrative functions.
  • Duties will include assisting with
  • Planning and implementation, engaging with program participants, compiling and organizing program materials, day of coordination support, and other duties as assigned to ensure the successful planning and execution of events.
  • Serve as the administrative coordinator for research projects and assist with the development of processes related to research publications, podcasts, videos, and other communication materials associated with the Proctor Institute and Center.
  • Assists with the analysis of various administrative documents and program data, develops promotional materials, and aids in the management of the Center and Institute’s communication efforts including, but not limited to, assisting in the development and maintenance of websites, assisting in internal and external graphic design, coordinating marketing campaigns, as well as writing press releases and quarterly newsletters.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.  Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility .  Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC).  Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine .  Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Minimum Education and Experience
  • Bachelor’s degree or an equivalent combination of education and/or experience.
Certifications/Licenses

  • Demonstrated organizational proficiency and project organization skills. Self-motivated, proactive, adaptable work style, with the ability to learn quickly and to work with a variety of topics and people.
  • Proven analytic abilities, using problem-solving skills to proactively research and resolve questions, discrepancies, and inconsistencies.
  • Excellent written and verbal communication skills.

  • Experience using a variety of social media platforms, including Twitter, Instagram, Facebook, and LinkedIn
  • Experience with Adobe suite including Adobe Acrobat, Adobe InDesign, Adobe Photoshop, Adobe Illustrator, and Adobe Premiere.
  • Experience with HTML code, website content creation, and website management
  • Proficiency in MS Office (Excel, Word, PowerPoint)
Preferred Qualifications
  • Experience with program coordination and program planning.
  • Experience with Eventbrite, Google Docs, MailChimp, Zoom, and Qualtrics.
  • Humanities-based degree preferred.
  • Experience with writing, editing, communication, social media campaigns, and organization.
  • Understanding of Minority Serving Institutions and justice/equity issues

  • Setting up registration tables and managing registration processes
  • Transporting materials (brochures, step-and-repeat, tote bags, etc.)
  • Assembling and disassembling step-and-repeat

  • Helping to clean up after event (taking out trash, wiping down tables, putting food away, etc.)
