A part of the Texas A&M University Health Science Center, Texas A&M School of Dentistry  in Dallas was founded in 1905 and is a nationally recognized center for oral health sciences education, research, specialized patient care and continuing dental education. The School of Dentistry is looking for an Program Coordinator I to serve in the department of Student Affairs.  We desire an individual who subscribes to and supports our commitment as stated above. The successful applicant will bring an expert level of experience to the position and understand the demands of supporting executives in a fast-paced environment. What you need to know  


Proposed Minimum Salary: $45,000 annually 


Work Schedule/Location: This is an on-site role with a typical schedule of Monday – Friday 8am to 5pm.

Required Education and Experience:


  • Bachelor’s degree or equivalent combination of education and experience.

  • Two years of program administration and/or coordination experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Verbal and written communication skills. 

  • Ability to multitask and work cooperatively with others.

Preferred Qualifications

  • Experience independently organizing, coordinating, and conducting significant events. 

  • Experience with budget/account monitoring, vendor payment processing, and business travel coordination.

  • Professional experience in a role embedded within student advising or student affairs. 

  • Ability to autonomously conduct campus tours and warmly welcome prospective students.

  • Strong organizational and time management skills.

  • Experience in a professional school setting or within higher education.

Essential Duties/Tasks:

Administrative Support

• Serves as the main point of contact for the Office of Student Affairs, providing information, resolving questions/concerns, etc. Escalates concerns to appropriate offices/personnel.

• Maintains services/program activity records and databases.

• Provides advanced administrative support and may serve as a personal assistant.

• May maintain office schedules and appointments.

• Coordinates departmental communications.

• Replenishes office supplies and schedules maintenance of office equipment as needed.

• Compiles program activity information to assist in evaluation for future planning.

Special Event Coordination

• Coordinates graduating DDS and DH student award ceremonies.

• Assists in the planning and preparation of other additional special events and programs, which includes coordinating facilities, equipment, and food.

• Attends site visits for event planning.

• Arranges meetings, appointments, conferences, and travel.

Student Support

• Assists with campus tours and welcomes prospective students and their families.

• Maintains confidentiality of student circumstances and private matters.

• Responsible for ordering all locks needed for dental students.

• Develops matriculation packets/reports.

• Coordinates student travel by reviewing submitted forms and processing student travel payments.

• Assign locker orders for new student materials such as white coats, lab coats, and desk name plates.

• Responds to inquiries regarding Student Affairs matters and routes to appropriate personnel.

Finance/Budget Support

• Assists in monitoring budgets for programs and events.

• Reviews and reconciles Student Affairs’ budget and accounts.

• Reviews and processes payments for smaller vendors.

• Tracks and maintains Student Affairs budget lines (student events, mental health payment, vendor contracts for graduation, orientation and award ceremony)
